GFMA/SIFMA is currently seeking a high energy, detail-oriented Administrative Assistant with project management experience who will primarily provide support to the Executive Director, GFMA, and Managing Director, North America, GFMA Global FX Division. The position requires a polished and proactive team player who is able to prioritize and juggle assignments with senior executives across multiple time zones, possessing tact, diplomacy, and superior office and interpersonal skills. This position is based out of the SIFMA Washington, D.C. office.

GFMA is a global trade association with three regional trade Affiliate Members, SIFMA, AFME, and ASIFMA, and it is expected that applicants be comfortable with accommodating stakeholders across various regions and time zones.Applicants should have experience managing C-suite executive level stakeholders and collaborating with external Executive Assistants. A primary job function will be supporting the GFMA Board of Directors which includes global heads of capital markets and policy at around twenty seven globally systemic important banks (G-SIBs). The personal assistant liaises with the board of directors and senior management teams' representatives, organizes, and coordinates executive outreach and external relations efforts for the Executive Director.

Role Responsibilities

Manage the Executive Director's calendar, schedule, prepare for, and organize appointments and coordinate meetings internally with SIFMA/AFME/ASIFMA colleagues and external meetings with members in multiple jurisdictions.Coordinate all event logistics for GFMA Board Meetings (3 times per year) with board host locations (UK, Europe and Asia), including room setup, A/V needs, food and drink arrangements, printing materials, attendance and security rosters, and related networking events for board members.Prepare meeting agendas, presentations, and other materials for GFMA board related meetings, including monthly leadership coordination calls, EXCO meetings, and quarterly bilateral member engagement meetings.Handle correspondence, including drafting emails, letters, membership invoices, registrations, visas, and other documents on behalf of the Executive Director.Coordinate domestic and international travel arrangements and accommodations, requests and authorizations and prepare, process and submit expense reports and vouchers for the Executive Director, GFMA, and Managing Director, GFXD in CONCUR.Manage Executive Director's expense reporting and reimbursement process, ensuring accuracy, compliance, and timely submission.Manage and execute each GFMA board members' invoicing processes by confirming details, distributing and following up on invoices, tracking payments and budget utilization, and managing invoicing for both the GFMA Professional Budget and ad-hoc projects internally and externally.Maintain and update current and prospective board member and regulatory contacts, compile member engagement reports across SIFMA/AFME/ASIFMA/GFMA, and perform biannual refreshes to support GFMA external engagements and communications.Work independently and with the GFMA team to update and maintain GFMA Board Resources regularly.Design and develop new content pages for the GFMA website, including GFXD and tri-trade requests, and troubleshoot any issues with the website host or developer.Maintain and update internal resource documents and trackers, with a comprehensive review prior to GFMA Board meetings to ensure transparency and coordination with Regional Affiliates Members, SIFMA/AFME/ASIFMA.Provide SIFMA front desk coverage on an as needed basis, including greeting visitors and managing incoming and outgoing mail, while also handling incoming phone calls and routing them to the appropriate employee.Qualifications

Bachelor's degree, minimum 5 years of administrative support experience.Proven experience as an Administrative Assistant or similar role supporting C-Level executives.Excellent project management, organizational and time management skills, with the ability to prioritize tasks and meet deadlines proactively.Strong interpersonal skills, high energy, and the ability to communicate effectively with individuals at all levels.Advanced knowledge in Microsoft Office Suite, especially Windows 10, Excel and PowerPoint.Proficiency in Concur (T&E) and Protech (CRM) a plus.Discretion and confidentiality in handling sensitive information, analytical writing, and extreme attention to detail.Manage and update the GFMA website and social media platforms in collaboration with regional communication leads.Ability to work independently with minimal supervision and as part of a collaborative team environment.Global Financial Markets Association, GFMA

Salary range:

$70,000 - $75,000
