I. JOB OVERVIEW

Job Description Summary:

As an integral part of the Office of Sponsored Projects (OSP) team, the Sponsored Project Administrator (SPA), eRA remains abreast of OSP processes and records retention policies in place at GW and manages sponsored projects document retention and electronic research administration (eRA) workflows. The SPA will coordinate collaboration and communications between stakeholders on large sponsored projects. SPA provides significant organizational and analytical support to the OSP team to help inform decisions about current operations, process improvements, and new/proposed initiatives.

Responsibilities

  • Acts in the role of records custodian, responsible for managing sponsored projects documents of record in accordance with established procedures. Develops processes for compliance with federal and other sponsors’ document retention terms and conditions and other applicable regulations. Works with other parties to ensure documents stored in various locations/electronic systems comply with indexing and naming conventions and established procedures for sponsored research documentation. Maintains GW user accounts in sponsor portals. Collaborates/serves as backup for SPA Document Management or other SPAs as assigned.
  • Manages multiple OSP projects relating to technology, business process improvements, reporting, compliance, and daily department operations. Works with award management and subaward teams managing the launch of new center awards, multidisciplinary or multisite projects that require complex coordination. Works with new investigators and their respective portfolios to support award transfers to the university. Coordinates collaborations between OSP stakeholders to develop plans, track deliverables, manage schedules, and provide regular status reports and next steps.
  • Identifies areas of workflow and data quality improvement and works with OSP leadership to recommend priorities for the development of applications utilizing new and advanced technologies. Collaborates with staff from other technical areas within OVPR and Division of Information Technology to plan and implement technology addressing OSP business needs and resolve system issues.
  • Develops and provides periodic performance/system metrics and maintains monthly, and yearly trends on unit and system performance. Provides scheduled and ad hoc projects and reports to various stakeholders.
  • Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Working knowledge of data management with extensive experience with relational databases, Microsoft Office suite, and other relevant applications.
  • Ability to compile, report, and analyze information from different sources, using various formats to explain and highlight key points to key stakeholders.
  • Excellent oral and written communication skills. Ability to work effectively in a team environment with all types of staff.
  • Current knowledge or willingness to learn application of privacy laws, ethics standards, and protocols in dealing with highly sensitive information with a high degree of judgment and discretion.
  • Strong problem-solving skills and demonstrated ability to work in a demanding environment.
  • Familiarity with formal project management as a tool to successfully complete specific project goals and objectives.
  • Proven track record of delivering work with minimal errors.

Hiring Range

$57,553.66 - $79,165.63
