Job Title: Accounts Payable Specialist

AP Specialist Job Summary:

The AP Specialist will be responsible for ensuring accurate and timely processing of invoices, managing accounts payable, and collaborating with various departments to ensure accurate financial reporting. The specialist will be expected to handle invoice and purchase order discrepancies, allocate expenses appropriately, and contribute to month-end closing activities.

AP Specialist Responsibilities:

  • Review and match invoices to purchase orders, ensuring accurate coding to the correct job number and General Ledger (GL) account.
  • Allocate expenses to appropriate product lines and product families.
  • Process invoices, check requests, and ensure timely and accurate preparation of accounts payable checks.
  • Monitor vendor accounts, ensuring all AP payments are up to date.
  • Request invoices from vendors and follow up on goods received accruals that remain open for more than 20 days.
  • Produce and maintain accurate monthly reports related to accounts payable and assist with the month-end closing process.
  • Reconcile vendor statements and resolve any discrepancies or issues that arise.
  • Collaborate with purchasing, receiving, and other internal departments to resolve invoice discrepancies.
  • Ensure compliance with company policies, internal controls, and accounting best practices.

AP Specialist Qualifications:

  • 2+ years of experience in accounts payable, preferably in a manufacturing environment.
  • Familiarity with large accounting software and ERP systems (e.g., SAP, Oracle, or similar).
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office Suite, especially Excel.
  • Strong communication and interpersonal skills.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
