Position Overview

Arlo is in search of an Executive Assistant to support the Office of the Chief Data and Artificial Intelligence Office for the Secretary for Defense (CDAO) (OSD) Chief Information Officer (CIO). You will provide executive level administrative services to support the overall administrative operations directly for the CIO. You will also serve as liaison between government staff and other administrative support personnel. Your role will be to ensure overall productivity and efficiency seamless administrative operations

Pentagon, Crystal Gateway 2, in Arlington, VA - hybrid

Job Responsibilities and/or Success FactorsServe as the administrative point of contact to support the CDAO CIO as well as government staff personnel.Prepare and maintain requirements for the CDAO CIO, answer phones, maintain office files and the office filing system, and track action items in the suspense portal.Provide support to Government leads for all required correspondence actions, (e.g., formal letters, memorandum, read-ahead briefing/meeting packages, reports, and travel/training/personnel documents).Route materials to appropriate offices and manage incoming and outgoing correspondence, mail, and other materials for the office.Ensure the CIO's daily calendar is current and updated in a timely, professional responsive manner.Arrange for meetings, conferences, and video-teleconferencing, to include taking minutes and maintaining invitations attendee contact rosters.Remain apprised of near future upcoming events to ensure meeting preparations are identified.Provide in-depth advisory services concerning military and civilian human capital management functions on issues such as team taskings and assignments, memorandum of agreements, awards and evaluations.Assist with the administrative onboarding of incoming personnel to include security awareness and protocols, computer support/connectivity, ensuring relevant staff officer training, etc.Prepare and/or oversee travel arrangements for the CIO and his staff. Assist with developing travel reports and travel vouchers upon completion of travel. Travel frequency is dependent upon mission requirements.Conduct inventory, orders supplies, and accepts deliveries for the office.Develop and update office standard operating procedures.Manage and recommend the allocation of physical space for the office.Assist in providing security management support for sensitive activities, sensitive compartmented information (SCI), special access programs (SAP) documentation, and Alternative or Compensatory Control Measures (ACCM) activities.Extensive experience with Microsoft Office Tools. PowerPoint skills a must.Strong clients focus and commitment to continuous improvement, ability to proactively network and establish relationships.Manage multiple priorities in a high-paced and fast-changing environment.Perform other duties as assigned or required.Education and Minimum Qualifications

Must have an active Secret clearance.High school degree with at least 5 years of experience performing administrative staff, clerical, clerical technical, or secretarial work within the DoD.Experience in Microsoft Office Suite (Outlook, Work, Excel, PowerPoint).Have key attention to detail and professional communication.Strong customer service skillsAbility to work in a fast-paced environment.Physical Requirements:

Work may involve sitting or standing for extended periods of time and typing and reading from a computer screen.Must have enough mobility, including bending, reaching, and kneeling, to complete daily duties in a prompt and efficient manner and may include lifting thirty (30) pounds, as necessary.
