Responsibilities:

Receives and screens incoming calls and correspondence and responds independently when possible and appropriate.Represents the office of Administration in a professional manner both orally and in writing.

Manages calendars and independently schedules appointments and meetings.

Establishes and maintains documents and records in an appropriate filing system, including electronic files.

Manages petty cash distribution, processes invoices for payments and prepares check requests.

Coordinates and organizes meetings. Prepares and distributes materials, books meeting rooms and coordinates conference calls and Teams Meetings.

Prepares and maintains all documents and binders required for all regulatory surveys.

Conducts audits of departmental data submission to ensure integrity and accuracy

Leads facility administrative staff for the completion of special projects

Coordinates planning of high-profile special events, programs, or conferences by securing appropriate arrangements (e.g. invitations, caterers, location) through the use of established vendors and venues.

Maintains time and attendance records for all Administration Leadership and their Direct Reports.

Schedules and confirms all travel arrangements including transportation, lodging and food for the CFO and members of the Finance management team.

Monitors and orders office supplies

Prepares monthly reports as needed.

Qualifications:

HS Diploma required; Associates Degree Preferred

Minimum 3 years of administrative Assistant experience supporting executive

Experience in a healthcare is preferred. Working knowledge of healthcare surveys strongly preferred.
