What You'll Do:
Screens incoming calls and correspondence and responds independently when possible.Organizes and maintains Department's file system, and files correspondence and other records.Answers and screens Director's and/or Managers' telephone calls, and arranges conference calls.Prepares outgoing mail and correspondence, including e-mail and faxes for the Department.Performs secretarial duties as needed.Prepare COBRA and leave notifications and records payments.Prepares benefit packages for all offices and sets up schedules for Benefits Orientation.Formats documents and enters information, using computer and word processing software or other word processing equipment.Manages calendar for the Department.Makes travel and meeting arrangements.Schedules appointments for Partner Exam Program.Helps to solve common office problems, such as technology issues, order supplies, send out forms, etcIn addition, responsibilities related to maintaining firm and client informationare to be adhered to by all employees. This includes complying with the firm's information security policies, protecting firm assets from unauthorized access, disclosure, modification, destruction or interference, and reporting security events or potential events or other security risks to management.
What You'll Bring:
College degree highly desired; high school diploma requiredAt least five years of experience as an assistant in a very active and demanding officeBenefits experience is a plusHighly organized and self-starting.Possesses ability to balance many tasks, demands and pressures simultaneously.Highly proficient in all primary software programs, particularly Microsoft Word, Excel, PowerPoint and Outlook.Possesses superior interpersonal skills and the ability to work easily and cooperatively with all staff members, Partners, Directors, lawyers and their representatives.Possesses capability to exercise judgment when dealing with personal/benefit issues and ability to maintain confidentiality at all times.Able to establish excellent rapport with insurers and their representatives or any other parties who visit, e-mail or call the office.
