The pay range for this position is $100,000 - $120,000 depending on experience.The Executive Assistant will be responsible for delivering a high standard of administrative support to the President including all aspects of administrative support. The Executive Assistant must have the ability to anticipate and resolve conflicts as they arise and prioritize issues.This position requires excellent interpersonal and relationship-building skills and must use a solutions-oriented approach to support and address the business needs of the office, including supporting other team members, and business partners as required.Assists with administrative matters, including confidential issues such as legal and financial information; exercises discretion and independently performs a wide variety of duties in support of company President and other C-level executives.Organizing and maintaining the executive's schedule, including setting up meetings, appointments, and conferences. Coordinating with internal and external stakeholders to ensure that the calendar is up to date and conflicts are avoided.Booking flights, accommodations, and transportation for domestic and international travel. Preparing detailed itineraries, including backup plans for any changes or disruptions. Managing travel expenses, and other logistical details.Takes, prepares, and disseminates agendas and meeting notes for various executive leadership meetings, board and investor meetings.Monitor, organize, and prioritize the executives inbox to ensure prompt responses and efficient handling of high-priority messages. Draft, review, and send emails on behalf of the executive, maintaining a professional tone and accuracy. Filter and respond to routine emails, escalating important messages as needed and ensuring that all communication is appropriately handled.Coordinates the completion of monthly Board agenda items for a wide variety of topics.Managing daily administrative functions such as answering phones, responding to emails, and handling correspondence, documents, updating office protocol and maintaining records.Acting as the point of contact between the executive and internal or external stakeholders, handling phone calls, email communications, and sometimes managing public relations aspects.Organizing and facilitating meetings, including setting agendas, taking minutes, and ensuring all necessary materials and technology setups are prepared. They may also coordinate larger events or conferences.Performs other related duties as assigned.Skills:7+ years of recent, long-term, professional experience in an executive assistant position supporting C-level executives or President.Bachelors Degree or an accredited 4-year College or UniversityExcellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external team membersStrong verbal and written communication skillsAbility to handle confidential information professionallyStrong calendaring and travel planning experience, preferably dealing with complex meeting scheduling and shifting prioritiesKnowledge of Microsoft Outlook, Excel, PowerPoint and Word and a range of presentation software
