The Business Systems Coordinator manages and administers Newcomer Network business systems, monitors system deliverables, extracts, analyzes, and reports data, and coordinates with teams to identify and implement system improvements. The position is also responsible for Quality Improvement functions within the department.

ESSENTIAL DUTIES and RESPONSIBILITIES:

Oversee the use of data systems within the Newcomer Network, ensuring effective data management and data analysis:

Manage the Migrant Case Management database systems, extracting, analyzing and providing data, and working with the District of Colombia's Office of Migrant Services to troubleshoot database issues.Track and analyze project data regarding migrant arrivals, service provision by Migrant Case Management and programs at the Catholic Charities Center, and referrals to and from outside agencies/providers.Serve as liaison to agency personnel charged with administering the Case Worthy database system. Work with agency personnel to extract, analyze, and provide data and to identify improvements to the system and operations that will maximize efficiency.Identify and implement new systems to support emerging business functions at an effective cost within the department.Develop tutorials and design and deliver training workshops for staff on data systems used by the Newcomers Network.

Provide support to departmental programs, ensuring internal agency reports are submitted as required.

Ensure timely and accurate submission of departmental reports, including quality improvement, outputs, outcomes, and client satisfaction reports.Generate data reports for donors, partners and agency leadership, on a daily, weekly, and monthly basis, and per request.Analyze output data and work with key program staff to design and create visually attractive and stimulating dashboards, reports, and presentations.

Provide oversight of quality controls within the Newcomer Network Department:

Ensure the maintenance of all required certifications, accreditation, and licenses for all staff as required.Oversee unusual incident reports in a timely manner

Maintain the unusual incident logImplement investigation if required.

Coordinate, develop and lead departmental Quality Improvement Committee meetings, and follow up with improvement initiatives.Monitor audits within programs and update the Agency's audit tracker on a monthly basis. Ensure that deficiencies identified during an audit are addressed by program personnel.Oversee administration of the complaint and grievance policy.

EDUCATION and EXPERIENCE:

Bachelor's degree in computer science, information technology, business administration, or a related field.2 years of experience as a Business Systems Coordinator or similar role.SKILLS and COMPETENCIES:

Understanding of data ethics, confidentiality, and privacy matters related to the collection, analysis, and sharing of data pertaining to vulnerable populations. Ability to work independently or collaboratively based on the task.Skill in using computers, preferably in a PC, Windows-based operating environment, and knowledge of various electronic databases.
