The Position:
The
Branch Office Administrator
is a key role that ensures excellence in client service. This role will maintain the administrative organization of the office and warmly interact with clients. This will require strong personal skills over the phone and in person.
Responsibilities:Warmly greet clients at the front desk, be engaging and offer refreshmentsAnswer phones and transfer to the correct contactsResponsible for scheduling of client reviews through Saleforce workflow, coordinating appointment priorities with advisors and updating systems appropriatelyManage conference room schedulingCoordinate with Client Service team members and advisors on action items from client review meetingsConfirm appointments using appropriate softwareReceive, log, and distribute all mail, FedEx, UPS and general deliveriesServe as point-of-contact with Building Maintenance for any office servicing needsCoordinate maintenance on the office equipment with vendors as neededOrder and maintain office supplies and work roomMaintain and stock breakroom, reception area and conference rooms with refreshmentsHelp with event planning and make arrangements for hospitality services for in-office meetingsWork on special projectsSend client gifts as requested by team membersAssist with branch compliance filesHelp coordinate technology needs of the branchRequirements:
A minimum of 1-2 years of front office experienceAbility to organize, prioritize and handle multiple tasksEffective written and verbal communication skillsExcellent teamwork and time management skillsEnergetic, outgoing personality while interacting with guests and team membersAbility to act with integrity, professionalism, and confidentiality.Proficiency with Microsoft Office Suite or related software.Salary + Benefits:
