What You'll Do:

The Executive Assistant to the President provides executive support to the President Aerzen USA Corp. and, at times, limited support to a couple of senior members of the leadership team. The Executive Assistant will manage the daily administrative tasks and support the President in a staff capacity by handling a wide variety of situations involving the administrative functions of the office and advises individuals inside and outside the organization on the executive views.

S/he must be detail-oriented, have strong organizational skills and experience working in an administrative position. S/he must be able to multitask, manage conflicting priorities, and handle tight deadlines. This individual will have the ability to exercise good judgment in a variety of situations, with strong communication, administrative, and organizational skills, and the ability to balance multiple priorities. Must also possess a high degree of confidentiality, professionalism, and high degree of using judgment and discretion for more sensitive topics.

The Executive Assistant to the President is to manage the daily administrative tasks for the President a group of executives. Responsibilities include but are not limited to the following:

Schedule and organize complex calendar appointments and meetings, conference calls, develop meeting agendas, and handle day-to-day operations that are frequently changingArrange and prepare extensive travel itineraries and manage the entire travel process, ensuring accuracy of logistics (flight, hotel, transport, etc.) through reconciliation of expense reportingCreate and maintain itineraries for meetings, conferences, teleconferences and travel, including preparation of meeting materials, agendas, organization, confirmation of attendees, etc. ArrangeDraft communications and presentations and act as another set of eyes for the President for final approval on both internal and external written material.Assist & manage special projects as assigned including research and preparation of executive summaries, management of project-related correspondence, etc. Manage projects and activities for the Board, senior staff and committees including Board meeting notes.Manage multiple deadlines and be assertive with other staff members and managers to ensure the team adheres to deadlines, managing both short and longer-term priorities.Maximize the President's time by reading, researching, and routing correspondence; drafting emails, letters and documents; collecting and analyzing information; initiating phone calls on President's behalf.Anticipate the President's needs and requirements throughout the day, and proactively resolve issues before they arise, always remaining one step ahead.Commit to other executive administration responsibilities as needed.This role is on-site in our Coatesville, PA Headquarters with occasional work from home as needed with manager approval.Requirements

Education:

Bachelor's Degree and/or Associates Degree required. Significant relevant experience in similar position in lieu of degree would be acceptable.

Experience:

Minimum 10 years of experience in executive administrator capacity. Leadership experience is a plus but not required.

Computer Skills:

Windows, Microsoft Office (i.e. Outlook, Powerpoint, Excel, etc.), mobile travel planning and expense reporting apps (i.e. Concur), dictation apps, scanning and photo editing software/apps. Experience with Business Intelligence tools (i.e. Power BI), dashboards, and reporting is a plus.

General Skills:

Excellent communication and interpersonal skills, both written and verbal.Strong organizational skills and attention to detail.Ability to work independently and as part of a team.Experience with project management and process improvement methodologies.Be the President's personal timekeeper, orchestrating their schedule and planning essential travels.Keep meetings focused and planning and coordinating them effectively.Provide hands-on support to transform ideas into reality and monitor their progress.Act on behalf of the President to answer inquiries.Pinpoint and address core issues within business processes.Complete special projects and initiatives with skillful oversight and support.Lead meetings and workshops with meticulous planning and coordination.Identify areas of improvement across the organization and making actionable recommendations.The ideal candidate will be a seasoned business professional and possess exceptional communication and relationship management skills.This person will be able to think creatively and work independently to proactively solve problems.A successful candidate will be able to prioritize tasks in a fast-paced environment and communicate effectively to audiences of varying levels of seniority.
