General Purpose of Position:

Transcribes via word processing all meeting minutes into English and Spanish for the Administration of the City of Carlin from recorded audio as an independent contractor that will work under a signed contract.

There are generally five meetings a month that the transcriber will need to transcribe and on occasion a meeting may run longer than two hours with typical meeting minutes of 30 plus pages.

The meetings are:

Carlin City Council (usually held twice per month)

Carlin Parks and Recreation Board

Carlin Equestrian Board

Carlin Planning Commission

Essential Duties and Functions:

Performs functions in assembling, transcribing, and typing meeting minutes from recorded audio into Microsoft Word documents with proper grammar and spelling.

Meeting minutes are to be transcribed into English and Spanish.

Spanish translation software is allowed, but is not provided by the City of Carlin.

All meeting minutes are to be delivered as Microsoft Word documents to the Carlin City Clerk’s office in a format that is not “read only” or locked out for editing.

All transcribing services must be maintained in confidence and the transcriber cannot make the meeting minutes available to anyone other than the Carlin City Clerk’s staff members.

Successful candidate will possess excellent reading, grammar and writing skills and translate audio files into written Microsoft Word documents in English and Spanish.

Candidate will need to own their own computer and software to do the transcribing.

Candidate will regularly communicate with the Carlin City Clerk’s office and will need to have encrypted email service and maintain a valid phone number.

Candidate will need to provide an invoice for payment once a month for all meeting minutes transcribed for the month.

The City of Carlin pays once a month for this service and the transcriber will need to have their invoice into the City Clerk’s office the first business day of each month for the prior month’s work.

The successful candidate will need to provide a written sample of their transcribing work performed previously.

The successful candidate will have to pass a background check to be eligible for contract work for the City of Carlin.

This requires finger printing.

The City of Carlin is offering a one-year contract which can be renewed each year on agreement from both parties to the contract.

This is an independent contractor arrangement and the successful candidate understands that the transcriber is not an employee of the City of Carlin and will not receive any benefits as if they were a city employee.

The City of Carlin will not be responsible for the independent contractor’s income taxes, etc.
