IPF IT Operations Coordinator

Position Summary

The IPF IT Operations Coordinator plays a vital role in ensuring the efficient execution of operational processes. This position is responsible for overseeing on-boarding and off-boarding of staff, coordinating meetings, managing purchasing and procurement, and supporting various operational activities. The role requires strong organizational abilities, attention to detail, and the capacity to manage multiple priorities.

On-boarding/Off-boarding Coordination - 30%:

-Manage the on-boarding process for new hires, including arranging access to systems, setting up equipment, and ensuring all necessary resources are in place.

-Oversee off-boarding to ensure proper removal of access credentials and return of IT equipment.

-Act as a liaison between HR and IT teams, maintaining accurate records of employee transitions.

Meeting Coordination - 25%:

-Schedule and organize internal and external meetings, ensuring appropriate resources are available (e.g., meeting rooms, virtual setups).

-Prepare meeting agendas, circulate materials in advance, and follow up with stakeholders to ensure objectives are met.

-Manage team calendars and resolve scheduling conflicts.

Procurement and Purchasing - 20%:

-Handle procurement tasks, including soliciting quotes, managing vendor relationships, and processing purchase orders for IT equipment and office supplies.

-Ensure compliance with internal procurement guidelines and track spending against budget allocations.

-Monitor delivery of goods and services, keeping accurate records of orders and inventory.

Operational and Administrative Support - 15%:

-Provide general administrative support, including document management, email correspondence, report preparation, and travel coordination.

-Maintain filing systems and ensure that all relevant documentation is current and accessible.

-Support the IT teams in managing day-to-day operational tasks as needed.

Event and Project Support - 10%:

-Assist with planning and executing departmental events, team-building activities, and IT-specific projects.

-Coordinate logistics for training sessions and departmental initiatives, ensuring alignment with organizational objectives.

Minimum Requirements

Knowledge equivalent to that which would be acquired through the first two or three years of college, such as an Associate's degree; one to three years of related and progressively more responsible or expansive work experience in performing tasks related to the area of employment; or an equivalent combination of education and experience. May require certification in the area of employment.

Desired Qualifications

Excellent organizational, multitasking, and time-management skills; proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); strong communication skills, both written and verbal; ability to manage confidential information and work independently; experience in IT operations or a technical support role; familiarity with procurement and purchasing software; knowledge of IT on-boarding/off-boarding processes; experience with scheduling and project management tools
