This position will be based in our Palo Alto office (hybrid). The Human Resources Coordinator coordinates aspects of the staff recruitment process and provides cross-functional human resources support in the areas of HRIS, Benefits Administration, Policy Compliance and Performance Management. Plans programs and events to benefit Professional Staff employees. Acts as a backup to the Human Resources Manager.Coordinates the recruitment and onboarding process for exempt and non-exempt support staff, temporary staff and interns, including, but not limited to: job description maintenance; job postings; applicant tracking; testing; reference, background, and conflicts checks; compensation; new hire paperwork; orientation and corresponding HRIS data entry.

Plans staff events and programs; assists with special projects.

Responds to and identifies appropriate solutions to inquiries regarding Firm policies, procedures, benefits and payroll.

Provides backup to HR Manager for disabilities, leaves of absence, and worker's compensation.

Assists with compensation market analyses.

Performs weekly meal and rest break audits within timekeeping software; ensures required payments for missed meal and rest breaks are communicated to the Payroll Department and are paid in compliance with California requirements.

Participates in the implementation and coordination of department projects, including identifying resources, overseeing progress of ongoing projects and communicating closely with management regarding progress of projects.

Coordinates and schedules training and development, including Skadden University, New Hire Orientation, Well-Being and Diversity, Equity and Inclusion programs for Professional Staff.

Assists in the separation process for voluntary terminations.

Establishes and maintains employment agency relationships and manages agency contract process.

Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.

Manages Firm resources responsibly.

Complies with and understands Firm operation, policies and procedures.

QualificationsKnowledge of federal, state and local labor and regulatory requirements.

Knowledge of relevant firm computer software programs (e.g., Outlook, Word, Excel, PowerPoint, Workday), with the ability to learn new software and operating systems.

Thorough understanding of employee database applications.

Demonstrates effective interpersonal and communication skills, both verbally and in writing.

Demonstrates close attention to detail.

Excellent analytical, troubleshooting, organizational, and planning skills.

Ability to handle multiple projects and shifting priorities.

Ability to handle sensitive matters and maintain confidentiality.

Ability to organize and prioritize work.

Ability to work well in a demanding and fast-paced environment.

Ability to work well independently as well as effectively within a team.

Ability to use discretion and exercise independent and sound judgment.

Flexibility to adjust hours and work the hours necessary to meet operating and business needs.

Bachelor's degree.

Minimum one year of recruiting experience in a professional services environment.

Minimum of three years of related experience in a law firm or professional services environment.
