Established investment advisory firm based in San Francisco is a dedicated and versatile Executive/Personal Assistant to support the Founder and Chairman of the firm. This role combines high-level administrative support with personal assistance and bookkeeping responsibilities. The ideal candidate will be highly organized, detail-oriented, and able to manage a diverse range of tasks, including scheduling, travel coordination, client communication, philanthropic giving, and confidential communications with the company’s Board of Directors and executive management. Additionally, the role requires managing the executive’s personal investment tracking and household bookkeeping tasks such as expense tracking, invoice processing, and financial record-keeping. This position demands a proactive professional who can handle both professional and personal tasks with discretion and efficiency, contributing to the seamless operation of the Chairman's day-to-day activities and contributing to the success of the company. Candidate must be flexible and able to work overtime as needed.The company takes inclusion seriously and expects every team member to share the company’s values and to respect differences in the pursuit of our shared goals.ESSENTIAL FUNCTIONSServe as the primary support to the company’s founder and chairman; back-up support to other firm principals when neededManage a range of administrative tasks such as calendar management, correspondence, document organization, filing, expense reporting, telephone support, in-person and video meeting coordination, conference calls, and travel arrangements – all can be extensive at times.Provide executive support for the executive in his role as Chairman of the Board, assisting with board-related administrative tasks.Offer personal support to streamline and manage the executive’s personal matters including personal bills, philanthropy, outside boards, insurance forms, family and household responsibilities.Perform bookkeeping duties for the executive’s household staffAssist the executive and liaise with internal departments to update and maintain records of his personal private investments, including tax records, capital calls, pre-clearance and other compliance reporting.Greet and welcome visitors and assist in set-up and clean-up of meetings arranged for the executive. • Provide back up of other executive assistants and front desk, as needed.Occasionally provide light tech support, such as configuring devices, setting up printers, etc.Handle other general administrative duties and special projects as required.EDUCATIONEducation and/or experience equal to a Bachelors degree.EXPERIENCE5 – 10+ years of experience supporting a senior executive officer, including professional and personal support. Financial services experience is strongly preferred. Must possess above average organizational skills and the ability to successfully multi-task with great efficiency. Impeccable references are required.SKILLS/KNOWLEDGE/ABILITIESStrong technical skills, especially with applications such as Microsoft Outlook, Word and ExcelFamiliarity with Quickbooks or other bookkeeping software a mustFamiliarity with HomePay or other payroll service a plusExcellent communication and interpersonal skills, both oral and writtenAbility to operate with a high level of integrity and maintain complete confidentialityStrong organizational skills and attention to detail are criticalExceptional team player, with the ability to work independentlyMust be self-motivated and possess leadership qualitiesSound judgment and an above average work standard is essential
