Description We are offering a contract to hire employment opportunity for an Executive Assistant in Canton, Massachusetts. This role involves providing administrative support to the President of our HVAC industry company. The position requires a hands-on approach to ensure the smooth operation of our office environment. Responsibilities: Manage and organize the President's calendar and schedule, ensuring effective time management Coordinate and facilitate meetings, including arranging logistics and preparing necessary materials Handle travel arrangements and itineraries for the President and other team members as needed Draft and mail personal checks as required, ensuring accuracy and confidentiality Work cross-functionally with different teams within the organization to ensure smooth operations Take initiative in planning and executing tasks, demonstrating proactive problem-solving skills Prepare for the next day's schedule by debriefing and organizing necessary tasks Generate financial reports using Sage Software, ensuring data accuracy and timeliness Exhibit strong written and verbal communication skills in all interactions Leverage knowledge of the HVAC industry to support company operations and decision-making. Requirements Proficiency in ADP - Financial Services and Sage Software Experience in CRM (Customer Relationship Management) systems Strong communication skills, both written and oral Proven ability in calendar management, including scheduling and coordinating meetings Experience in managing conference calls and correspondence effectively Ability to provide high-level executive support Proficient in travel management, including planning and coordination of travel arrangements Experience in compiling and presenting annual reports Demonstrable skills in handling confidential information with discretion Ability to work independently and as part of a team Excellent organizational skills with attention to detail Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint Ability to multi-task and prioritize tasks efficiently Strong problem-solving skills and ability to work under pressure Proven track record of meeting deadlines in a fast-paced environment Excellent interpersonal skills and ability to interact professionally at all levels Bachelor's degree or equivalent experience in a related field.
