GENERAL SUMMARY/ OVERVIEW STATEMENT:
Performs a variety of duties to provide administrative support and coordination of assigned area/program.
Intake and referral coordinator duties:
On Track
•Answers calls within a reasonable period of time.
•Manage incoming referrals for On Track
Coordinate intake and scheduling patients for On TrackCoordinate standardized data collections for patients.Tracking and processing payments for the programsSending and tracking program contracts and formsScheduling on going appointments for On Track, Leader, BPP and STAR outpatient departments.
Consultation Services
•Manage Referrals and communications in the Consultation Service email.
•Reply to messages in a timely manner.
•Track referrals, contracts, and forms for the program.
•Schedule the Consultation Appointments in Epic
•Identifies opportunities to improve efficiency and effectiveness of current processes.
Administrative Duties
•Checking in patients for their appointment
•Distributing mail and faxes to provider
•Ordering supplies and business cards as needed.
•Identifies opportunities to improve efficiency and effectiveness of departmental activities.
•Implements and monitors projects in collaboration with clinic manager and director
•Performs special projects as directed
•Contributes to effective interpersonal and community relations to promote the quality of patient care and to promote a positive image of McLean Hospital.
•Contributes to the productivity and cost effectiveness of the department and hospital.
•Collaborates, as requested, with other departments of the hospital to meet identified needs.
Qualifications
QUALIFICATIONS :
Bachelor's degree preferred.
3-5 years professional experience preferred.
Epic or other EMR experience preferred.
Skills:
-Exceptional Computer skills including proficiency in Microsoft Office 365
-Ability to quickly learn and apply new technology.
-Takes initiative, multi-task, and follow through to completion with attention to detail.
-Must be self-directed and committed to excellence and continuous improvement of processes.
-Ability to prioritize multiple requests and deadlines while maintaining flexibility and dedication to task.
-A high degree of comfort working with an outpatient psychiatric population normally acquired through the equivalent of 3 years' experience in a mental health or human services setting.
Working Conditions:
-Busy office setting.
-Hybrid - Primarily 2 days in the office and 3 days remote
-Office days may vary based on clinic need
