Ancora is searching for an energetic and highly capable Executive Assistant. Working full-time in an office environment, this position is under the supervision of the Office Manager and is responsible for receptionist duties and administrative support.
Main responsibilities include, but are not limited to:Maintain reception area and open office in the morning.Greet visitors and determine whether they should be given access to specific individuals.Accept and screen, where necessary, all incoming calls; and take messagesSort incoming mail, UPS, overnight, and receive shipments.Prepare outgoing mail, overnight, or certified letters.Manage administrative procedures and processes for the corporate departments.Coordinate activities and prepare materials for the Corporate Regional and Board of Director meetings.Maintain files and records, manage the executive and VP calendar, and assist other departments with meeting preparations on-site and off-site.Prepare reports, memos, letters, statements, and other documents, using word processing, spreadsheet, database, or presentation softwarePrepare responses to correspondence containing routine inquiries.Plan, coordinate, design, and implement special projects as needed by executives and VP'sTake notes or copy material that includes correspondence, forms, and a variety of administrative reports; provide effective oral and written summaries.Arrange hotel and airline reservations and local travel plans for executive and VP staff.Order office supplies, and schedule facility and office equipment maintenance.Plan and coordinate staff activities for major company events.Maintain the company intranet with relevant and timely information.Edit and coordinate the publication of the quarterly company newsletter.Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.Other duties as assignedMinimum Qualifications:
Bachelor's degree preferred or any combination of education and experience equivalent to a bachelor's degreeTwo years experience assisting executives at a large companyAdvanced knowledge and proficiency in Microsoft Office Suite/Google SuiteExperience in managing multiple projects and tasks simultaneously is a must.
