Responsibilities:CHI St. Alexius is looking for a Full Time Executive Assistant to join the team!Provides management of the Administration office, including administrative support for four of the following leaders: the President/CEO, CFO, VP Mission Integration, VP HR, VP Medical Group Enterprise, COO/CNO, Vice President of Regional Services and VPMA/CMO. Coordinates all aspects of various management and Board related activities.What You'll Do
Attains completion of department goals/objectives as identified at last performance appraisal.Manages the daily schedule of assigned Executives to ensure an efficient communication process by performing specialized functions. Organizes meetings and assures all appropriate meeting attendees are invited and assures all required materials are available.Coordinates travel and conference arrangements for assigned Executives. Assures all expenses are credited appropriately.Creates and maintains appropriate reports, agendas, etc. meeting deadlines.Maintains master files, assuring all minutes, statistical reports, financial reports, board reports, etc. are maintained/distributed accurately and in a timely manner.Provides guidance to the organizations administrative support staff. Assures organizational administrative rules and policies are maintained and distributed.Performs research, prepares analyses and makes initial evaluations and recommendations for improvement of administrative procedures, systems and acquisitions for assigned Executives, when appropriate, for the organization.Relays and explains policy and program decisions as intermediary contact for the organization/Administration Department staff physicians, public officials, Board of Directors, and the general public. Composes and drafts correspondence and press releases, reports and articles for publication. Coordinates the release and dissemination of highly sensitive information.Provide administrative support to the Board of Directors. Coordinates all aspect of various management related activities.Provides back-up as needed to the other Executive Assistant and his/her assigned Executives in all key responsibilities outlined above.Other duties as assigned by management.Computer ability with word processing skills required. Excellent communication skills are necessary because of the constant communication both oral and written with management, employees, applicants and general public. Ability to establish and maintain effective working relationships with staff and public. Must possess ability to use independent judgment in performing various tasks in a professional manner. Maintains a high degree of confidentiality.Qualifications:Two (2) years of college education with background in office support or a business related field. A minimum of four years of high level administrative secretarial or office coordination experience required. Experience as described may substitute for the education requirement on a year-for-year basis.
