This Executive Administrative Analyst role, located in Washington DC is an onsite position within NNSA. The Executive Administrative Analyst (EAA) provides high-level administrative support to executive level Federal staff, ensuring the smooth and efficient operation of the office. The EAA serves as the primary point of contact between the executive office and internal/external stakeholders, manages schedules, coordinates meetings, handles correspondence, and performs a wide range of tasks to facilitate the executive's ability to lead the organization effectively.
ESSENTIAL FUNCTIONS:
Coordinate and track multiple administrative actionsFacility issue requestsProcess and troubleshoot facility accessManage calendar and schedule meetingsScreen correspondence for action items and signaturesLiaise with organizational partnersDetailed, accurate note taking, as well as, tracking action items from meetingsReview emails containing requests for support or direction of tasksManage office functions as delegatedPrepare, edit and update reports and presentationsProof documentsPrimary POC for eDOCS submission and managementTimekeeping for Federal staffSubmit FO VAR and SCI clearance paperwork for processingManage conference room and auditorium schedulingOnboarding/offboarding POCScreen unscheduled visitorsArrange itineraries for visitorsProvide interface with other program office support servicesEnsures office supplies are maintained, systems in the office are functional, and general procedures are met to maintain a safe, secure, and productive office spaceEstablish and maintain office files and databases, including electronic data files and architecture consistent with file storage/structure best practices.Prepare meetings or conferences, set up teleconferences, video conferences, and MS Teams; ensure all required equipment is available, usable, and accessibleAll other duties as assignedMINIMUM QUALIFICATIONS:
High School Diploma10+ years of relevant administrative experienceActive DOE Q or DoD Top Secret security clearanceKnowledge of the basic foundation of administrative concepts and practices sufficient to enable the incumbent to foresee administrative problems and requirements needed for internal procedures, administrative controls, and reporting systems, recommend and implement new or changes in administrative policies, procedures, and office practices, provide guidance to subordinates, and advise on general office practices and problem solving.Proficiency in in office computer systems and software applications such as the Microsoft Office Suite (Word, Outlook, PowerPoint, and Excel), including word processing, presentations (developing and editing), spreadsheets, databases, flow charts, general office procedures, grammar, punctuation, and spelling.PREFERRED QUALIFICATIONS:
Associate or Bachelor's Degree from an accredited school.
