Job Description

The Project Controls Manager typically has a wide range of responsibilities, which can include:
  • Supervise, coach and train Zachry site project controls staff.
  • Software training (Microsoft Office, SAP, etc.)
  • Maintain planning processes for capital, turnaround, and maintenance planning.
  • Solicit feedback from client on planner performance and adjust staffing as necessary.
  • Maintain planner evaluations and tracker.
  • Serve as hiring lead for all Zachry and JVIC project controls positions.
  • Work with client supervisors (lead planners, AMMS, central scheduler, etc.) for candidate review, selection, and onboarding.
  • Proficient with scheduling and Primavera
  • Assist Zachry and other contract schedulers with schedule development and problem solving/resolution.
  • Work with Zachry Technical Services Manager on controls team evaluation and training o P&D and IDP for project controls employees
  • Provide daily support to planners, schedulers, and planning coordinators.
  • Assist planners & schedulers with any questions, concerns or issues pertaining to daily work.
  • Manage and approve/decline employee leave requests.
  • Ensure planners and schedulers have the proper tools to adequately perform their job function.
  • Conduct QC audits of plans and planners
  • Receive new project work packages.
  • Review all new project work packages, note priorities and assign a project planner with consideration to other packages in backlog.
  • Monitor planning status against project need by dates.
  • Coordinate with central planner with upcoming work packages
  • Assure appropriate priority is assigned to planning work packages to facilitate project work schedule
  • Modify planning priorities if deemed necessary by break-in projects
  • Oversee material and equipment coordination for project work.
  • Coordinate with material expeditor and vendors on material deliveries vs. project need by dates.
  • Monitor SAP to ensure purchase requisitions are timely converted into purchase orders.
  • Serve as requisitioner for fabrication and material ordering during times of high work volume to help alleviate workload on planners.
  • Order Field Change Order (FCO) materials for projects as necessary
  • Create service entries in SAP.
  • Maintain project planning log spreadsheet.
  • Provide continuous status updates to the project planning log.
  • Coordinate with project scheduler in prioritizing and scheduling project work
  • Ensure project planning completion and materials delivery will facilitate project schedule.
  • Provide project planning information to project scheduler for import into project schedule
  • Finalize and submit project estimates for approval to project managers.
  • Review completed job packages for accuracy, completeness, and constructability.
  • Submit work estimates to project managers for approval.
  • Distribute copies of job plans to project engineers and project managers.
  • Resolve any and all issues that arise during the planning phase.
  • Work with quality control when discrepancies in specs and drawings are discovered.
  • Answer questions regarding job plans from construction coordinators, execution, and project managers.
  • Provide daily support to project planners.
  • Assist planners with any SAP issues.
  • Run interference in resolving procurement issues to avoid taking planners away from planning.
  • Mitigate issues between planners and project managers and/or Constr. Coordinators
  • Participate in pre-planning and job plan review meetings with project managers and project engineers.
  • Oversee all planning and scheduling for assigned outages.
  • Coordinate manning for each outage that the group plans and schedules.
  • Spot check job plans for all planners.
  • Review work orders to make sure planning time is correct or as close as possible to what is being planned.
  • Review worklist to see where the planning stands.
  • Communicate with operations to understand the needs and wants of operations for the outages and turnarounds.
  • Review each Schedule to ensure best accuracy possible.
  • Review previous outage and compare what was done versus what is being done for manpower.
  • Conduct weekly meetings with group to provide feedback and information that is needed.
  • Give feedback to planners on how, what, when and where job plans need to change or be improved.
  • Provide daily support to turnaround planners.
  • Keep up with the current safety training that is needed for each planner and scheduler among the T/A Planning and Scheduling group.
  • Build and maintain schedules in time of high work volume.
  • Manage fatigue schedules for planners and schedulers.
  • Build and maintain Daily Progress reports.
  • Additional tasks during turnarounds to include: Attending daily meetings with operations; Convey information that is need for each outage to operations; Provide any help or relief to planners and schedulers; Review lessons learned amongst the group after the outage.
