Executive Assistant
to provide proactive support to several members of our executive leadership team. This role requires a unique ability to manage multiple schedules, initiatives, and presentations while exercising sound judgment and delegated authority. The ideal candidate will have a broad view of how FCBH departments work together and will leverage their administrative strengths to effectively serve our leadership team.
Responsibilities include:Provide administrative support to multiple members of the executive leadership team at the same time, by scheduling meetings, anticipating future needs, coordinating travel, researching complex requests, preparing presentations, and assisting with projects representing multiple departments.Complete a broad variety of administrative tasks including, but not limited to, solving scheduling conflicts, serving as a delegated voice for key initiatives, managing calendars and appointments, planning events and special assignments.Via delegated authority, approve timesheets, time-off requests, and recovery days for multiple departments through the UKG Ready time-keeping system and Monday.com.Work with COO, CFO, Donor Development, Data teams and multiple field teams to coalesce data, reports and create presentations that represent the ministry's priorities.Work often with the Chief Steward in the GAP alliance, ensuring healthy collaboration and common messaging across ministry lines.Handle sensitive ministry, language, and personnel data as requested, including being involved in sensitive discussions.Provide department level administrative support to the Global Partnerships (GP), Language Recording (LRD) and Oral Bible Translation (OBT) departments, including coordination of various projects, spreadsheets, and products. Create needed spreadsheets, templates, and systems to ensure efficiency. Run reports and queries as needed for staff and leadership.Help design and create a variety of presentations for a variety of audiences including internal staff, global staff, board meetings, and partners.Assemble visitor schedules, communicate, and provide excellent hospitality while hosting visitors, including being sensitive to overseas visitor needs and requirements.Maintain a stock of blank devices and add requested languages, videos, and APKs to them for demos, VIP guests, and samples.Serve as a "go to" for other department heads and leadership seeking information or direction regarding FCBH's global work.Serves as a key spokesperson as to the current and growing FCBH device ecosystem.Travel as needed with Executive team members to assist in presentations related to assigned duties.Seek opportunities to grow in knowledge and to improve processes and systems which support the ministry.Requirements
Minimum 3 years experience in a position requiring strong administrative and interpersonal skillsHave an innate ability to be discerning regarding complex or vaguely understood situationsHighly organized and highly flexible - able to handle multiple demands and competing prioritiesAble to learn new information quickly, understand complex concepts and relationshipsReliableConsistent in making effective, timely decisions, even in the face of uncertainty. Able to seek appropriate input when making decisionsVery strong interpersonal skills and the ability to build relationships with staff & partnersExcellent written and verbal communication skillsAble to work constructively under stress and pressure and in ambiguous situations, able to give and receive feedback openly and nondefensively, and adapt readily to changePC proficiency - MS Word, Excel, Calendars and Outlook, Google Docs & sheets, online file management/storage such as Dropbox. Familiarity with MS Access as a plus.
