Position Summary

This individual will provide support to multiple leaders and will be responsible for managing a broad range of administrative processes and projects such as but not limited to, management of multiple calendars, travel, expenses, meetings and events. Must have the ability to manage short-term and long-term projects and planning.

The Executive Assistant ensures the office is running effectively and the people within receive a consistent and positive experience. As with all positions, the Executive Assistant is expected to continually improve areas within their domain by coming up with new ideas and solutions and implementing them. The Executive Assistant should have the mindset that they are creating a space where people can work at their best - they should be supporting the entire office and want to help make a place where the best work can be done.

The Executive Assistant

provides vital team functions:

Taking ownership of the organization, orderliness, and planning of the physical office spaceTesting the technology in the conference rooms, collaboration spaces and remote workspaces within the office so meetings can take place without delay or disruptionKeep up to date with Amwins GST and the other Chicago operating company's Administration teams and serve as the ASCS contact for admin and facilities related communicationsEffectively communicate by telephone and written correspondence any information pertaining to the office location including planned work and repairs, events, and changesManage security badge access for local employeesOrder and stock all office supplies for the 15th floorEnsure conference rooms, supply rooms and breakrooms are always neat, stocked and maintainedManage vendor relationships for office and breakroomsProvide office support services such as photocopying, compilation and distribution of materialsServe as point of contact for building management and input maintenance requests as neededPlace orders for breakfast and lunch for meetings as neededCoordinate technology and supply related order/replacement needs for employees as neededOrder name plates for new employeesSupport ASCS Leadership Team with other duties as assignedOnboarding and maintaining directoriesAssist with guest relations, travel and scheduling as neededManage events for respective leader - including booking dinners, ground transportation and management of guest listAct as the point of contact between leadership and employees/clientsAssist with meeting preparation, including collecting agenda items & background materials, creating and editing presentationsAct as content manager for internal systems of record and collaborationWe are looking for people with:

2-5 years of experience in an administration role or similarAbility to manage multiple projects, priorities, and work with multiple vendorsComfortable in a fast-paced environment and working with urgencyProficient level of experience with MS Excel, Word, and OutlookAdvanced knowledge of Microsoft Team Sites, OneNote, Word, Excel, PowerPoint and OutlookPromotes a culture of high performance and continuous improvement that values teamwork and a commitment to qualityAbility to execute duties and responsibilities independently and with minimal supervision, think critically, synthesize information from a variety of sources, work collaboratively or independently as required, prioritize effectively, and handle multiple tasks simultaneously, effectively carry out written and oral instructionsHigh degree of tact and diplomacy, inspiring trust from all levels of the organizationUnquestionable personal and professional integrityBachelor's degree preferredSnapshot of what Amwins provides to our team members:
