POSITION PURPOSEThe Executive Assistant to the Chief Financial Officer (CFO) will provide high-level administrative support to the CFO, ensuring the efficient operation of the office. This role requires impeccable organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The ideal candidate will have substantial experience working with C-Suite personnel, preferably for the CFO, and possess strong communication and interpersonal skills.
ORGANIZATIONThis position reports to the Chief Financial Office (CFO).
ESSENTIAL FUNCTIONSAdministrative Support: Manage the CFO's calendar, schedule meetings, and coordinate travel arrangements. Prepare, edit, and review agreements, correspondence, reports, and presentations. Give priority to sensitive matters and provide reminder notifications for important deadlines.Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.Communication: Serve as the primary point of contact between the CFO and internal/external stakeholders. Screen and prioritize communications, including emails and phone calls.Prepare correspondence, assist with notetaking, and be well-versed in verbally communicating on behalf of the CFO.Communicate closely with the CEO and President/ COO's Executive Assistants.Document Management: Maintain and organize confidential files and records, ensuring they are easily accessible and up-to-date.Project Management: Assist with special projects and initiatives, ensuring they are completed on time and within scope.Expense Management: Manage and reconcile expense reports, ensuring compliance with company policies.Event Planning: Assist in planning and organizing company events, conferences, and executive off-sites.Special Assignments: Coordinate and complete other administrative duties, projects, and tasks as assigned.Travel: Occasional travel as required.KNOWLEDGE & EXPERIENCE
Experience: Minimum of 3 years of experience as an Executive Assistant, preferably within a corporate environment supporting CFOs.Desired Education: Bachelor's degree in Business Administration, Finance, or a related field is preferred.Exceptional organizational and time management skills.Strong written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.Ability to handle confidential information with discretion, professionalism, and sound judgement.Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.Proactive approach to problem-solving with strong decision-making capability.Detail-oriented with the ability to multitask and prioritize effectively.MACHINES & EQUIPMENTThe incumbent must be able to effectively operate the current computer system, telephone system, and other office machines such as a copier.
PHYSICAL REQUIREMENTSMust be able to lift and carry up to 20 pounds. Must be able to talk, listen, and speak clearly on the telephone.
WORKING CONDITIONSThe incumbent works in an office environment that is not substantially exposed to adverse environmental conditions such as heat, cold, or extreme noise. Routine periods of being on the phone utilizing a headset, sitting and data keying are required. Periodic times working at the office site may be required.
Security and privacy training will be provided as part of this role to protect the confidentiality, integrity, and availability of PCS' associate and customer data.
