Our client, a financial services advisory firm, is seeking an Executive Assistant for a direct hire role. Work fully onsite in the office located in Atlanta, GA (Vining/Buckhead area).Provide high-level administrative and operational support for a partner and other members of the leadership team. This role requires professionalism, discretion, organizational skills, and the ability to manage changing tasks.Responsibilities:Calendar Management : Coordinate and manage the executives calendar, including scheduling meetings, appointments, conferences, and travel arrangements.Communication:

Serve as a liaison between the executive and internal colleagues, clients, and (Fund) investors. Handle phone calls, emails and correspondence with confidentiality, professionalism, and accuracy for executive and members of the executive leadership team as well as others within the Firm. Act as intermediary to the Fund investors, Fund Managers, and the Fund Administrator.Information Management:

Organize and maintain confidential files, documents, and records for the Firm and Fund. Retrieve and compile information as needed.Travel Coordination:

Arrange all aspects of travel, including flights, accommodations, transportation, itineraries, and off-site meeting space. Ensure efficient travel plans that align with executives schedule and preferences.Support:

Assist in the execution of projects and special assignments. Conduct research and compile data to support decision making.Financial Tasks : Assist with expense reporting and documentation. Collaborate with the accounting department to ensure accurate and timely expense reconciliation. Deposit checks for Firm and Fund capital calls. Track wires for Fund capital calls.Recruiting:

Schedule candidate interviews.Event Management:

Plan, organize and manage a range of internal and external meetings, from client meetings and conferences to corporate and investor functions and networking events. Manage coordination and catering requirements for events.Confidentiality:

Handle sensitive information with discretion and maintain a high level of confidentiality.Facility Management:

Oversee the day-to-day appearance of the office space, ensuring it is clean and well organized.Marketing Support:

Assist with marketing efforts, including managing social media accounts, creating marketing materials, and supporting marketing campaigns.CRM & CMS Management:

Learn and manage the CRM system (DealCloud) and website content management system (CMS). Ensure accurate and up-to-date information in the CRM and assist with website updates and content management.Qualifications:Bachelor's degree5+ years of experience as an executive assistant.Financial Services industry experience is highly preferred.Excellent organizational and multitasking skills.Strong written and verbal communication skills. Ability to work independently, prioritize tasks, and meet deadlines with the flexibility to adapt to changing priorities and schedules.Attention to detail and accuracy.Self-motivated to proactively identify challenges and propose solutions.Willingness to learn and expand responsibilities as opportunities are presented.Proficiency in MS Office: Outlook, Word, Excel, PowerPoint (Intermediate).Familiarity with Zoom.Experience with DealCloud or willingness to learn new CRM.Familiarity with website content management systems (CMS) is a plus.Benefits:Insurance: Group health, dental and vision insuranceBonus: Based upon firm and individual performance.401(k)Base Salary

$70,000.00 - $75,000.00. Final determination of salary will be based on an evaluation of experience, education, budget, etc.
