Argonne National Laboratory is inviting applications for the position of Executive Assistant within the Physical Sciences & Engineering (PSE) directorate.
Provides administrative support to the directorate`s Deputy Associate Laboratory Director and Deputy Operations Officer. Under minimal supervision performs a wide range of administrative activities and tasks. Ensures the smooth flow of incoming and outgoing communications. Completes administrative activities and tasks in a professional and timely manner. Addresses matters of a confidential or sensitive nature with discretion. Handles complex assignments with minimal oversight using independent judgment. Facilitates effective and efficient flow and processing of information and work associated with the day-to-day operations as assigned. Arranges and provides support at high-level meetings, conferences, and workshops. As required, interacts directly with high level stake holders.
A successful candidate will have a demonstrated ability to effectively utilize existing support networks, as well as develop new ones where necessary, to accomplish assigned tasks.
Position Requirements
This level of knowledge and skill is typically achieved through attainment of a high school diploma and 8-10 years of administrative/clerical experience or equivalent.Knowledge of administrative support and office practices including experience supporting senior level executivesOrganizational skills, initiative, ingenuity, creativity, and the ability to independently solve complex administrative problemsAbility to effectively set priorities and meet all deadlines with accuracy and completenessIs comfortable working in a dynamic, changing environment with multiple competing and shifting prioritiesOrganizational skills to schedule appointments, arrange meetings, and conferences and onsite visitsAbility to effectively compose, proofread, and edit correspondenceAbility to gather data, consider alternatives and weigh implications and appropriateness of actionsKnowledge of computer software packages/systems such as Microsoft Word, Excel, PowerPoint, Outlook, database, and other software as needed by the department, etc.Requires knowledge of or the ability to quickly acquire knowledge of Lab-wide systems and applications including those related to travel, workshops and publications (e.g. XM, PANDA, etc.)Oral and written communication skills and the ability to interact and collaborate with internal and external contacts at varying levels of authority to achieve established goalsKnowledge of document preparation for web presence, including web searchingAbility to demonstrate an understanding of, and an ability to model Argonne's Core Values: Impact, Safety, Respect, Integrity, and TeamworkPreferred
