Summary
:
Travis Credit Union's (TCU) Executive Assistants provide comprehensive administrative support to the Senior Leadership Team.
Profile:Provides administrative support in a variety of functions to the Senior Leadership Team that are focused on increasing the efficiency of the individual or organization.Coordinates high level meetings, conferences and events, including overall project management of scheduling, vendor relationships, contracts, event details, travel arrangements, communication, budget management, and post event reconciliation of expense vouchers.Works collaboratively with the Executive Administrative team and other business units on various projects, events and meetings.Schedules, plans, coordinates, attends, executes and prepares minutes for various leadership meetings.Responsible for the update and compilation of various calendars, including meeting and appointment scheduling.Ensures operational efficiency of Senior Leadership offices through consistent and accurate management of daily and seasonal confidential and public duties. Composes, transcribes, corrects and/or produces internal and external correspondence, forms, legal documents, invoices, budget, etc.Appropriately screens and routes member inquiries and telephone calls for Senior Management in a professional manner. Tracks member correspondence to ensure responses to member concerns are done in a timely fashion.Interacts with external lawyers, contractors, sales representatives and other vendors using independent judgment.Manages recognition for senior leader divisions.Reconciliations of company issued credit card or personal expense reports for both senior leadership and oneself.Remains aware of corporate goals, strategies, initiatives, functions, procedures / policies and communicates information and priorities to necessary parties.Handles complex issues and problems, and refers only the most complex issues to higher-level staff. Decisions made are based on own judgment, within the scope of the assigned authority and without direct daily supervision.Maintains confidentiality of sensitive information at all times.Performs a wide variety of administrative and office duties in support of an assigned department, including, but not limited to invoicing, supply ordering, purchasing, data entry, creating reports, processing mail/deliveries,Not all functions/tasks are listed above; however those listed are considered essential.

Working knowledge of the organization's mission, functions, as well as operating policies and procedures.Detail oriented; demonstrated organizational skills; proficient in time management with a focus on managing a heavy calendar load, multiple tasks, assigning priorities, and meeting or exceeding deadlines.Uses independent judgement and discretion by taking ownership of requests; tailoring solutions to the volunteer/situation; resourceful in information gathering/research; delivers quality, timely work within tight deadlines.Professional written and verbal communication skills. Ability to interact with all levels of staff and successfully tailor communications according to the audience.Self-motivated, professional, and ability to work in a fast-paced environment that is mission-driven and community oriented.Exercises good judgment and handles confidential and sensitive information.Works independently on assigned projects, from conception to completion, and proven ability to handle a wide variety of activities, workload, and meet timelines with accuracy.Schedules, plans, and coordinates meetings to include, preparing agendas, creating presentations, and meeting minutes.Ability to plan and coordinate corporate events and meetings to include, contract management/negotiations, travel logistics, communication and all comprehensive details.Advanced proficiency in Microsoft Office skills (40+ wpm); Word, PowerPoint, Excel, Outlook, Teams.Embraces and advances technology solutions to maximize effectiveness and efficiencies.Position calls for flexibility, excellent interpersonal and communication skills, project coordination expertise and advanced computer skills.Reporting and Experience:
Reports directly to SVPAssociate's degree and 3 to 5 years of related executive level experience or an Associate's degree with 6 to 8 years of progressive administrative experience; or a Bachelor's degree with a minimum of 1 year of executive level experience.
Working Conditions:
Work is generally performed within an office environment, with standard office equipment available and usually sedentary in nature. Requires attending meetings and events during evenings and/or weekends. Travel and overnight stays may be required.
Compensation:
Base salary starting range: $71,843.20/annually - $88,753.60/annually is commensurate with experience.
