The Chief of Staff (CoS) to the CEO is a senior leadership role responsible for enhancing the CEO’s capacity to lead the organization effectively. The CoS serves as a trusted advisor and confidant to the CEO, leading strategic initiatives, managing cross-functional projects, and overseeing the execution of the CEO’s vision. This role requires a high degree of operational acumen, strategic thinking, and the ability to work collaboratively with the leadership team to drive the firm's success.
The ideal candidate will bring strategic leadership with the ability to implement systems, execute priorities, partner with the Executive Leadership team, and promote a strong culture of accountability. An individual passionate about operations, systems, and processes with an ability to bring ideas to fruition based on the CEO’s vision will be successful in this role.
Key Responsibilities/Essential Functions
CEO Support:
Serve as a trusted advisor to the CEO, ensuring alignment of priorities and providing input on critical decisions.
Act as a liaison between the CEO and the Executive Leadership team, ensuring timely and effective communication across departments.
Facilitate preparation, organization and all materials for executive team meetings, board meetings, and leadership offsites.
Handle confidential and high priority matters on behalf of the CEO, ensuring resolution and follow-up.
Collaborate with the Executive Office team to ensure the CEO is briefed and prepared for all meetings, inclusive of pre-reads, follow ups, and action items.
Act as the primary point of contact for key stakeholders on behalf of the CEO.
Draft and review communications, presentations, and reports produced by the Office of the CEO.
Strategic Planning and Execution:
Work closely with the CEO to implement the company’s strategic goals and initiatives.
Track the progress of company-wide goals and metrics, ensuring alignment with the firm’s vision.
Lead or coordinate high-impact, cross-functional projects on behalf of the CEO, ensuring timely completion and measurable results.
Identify and solve bottlenecks or operational issues that could affect the firm’s overall success.
Operational Leadership:
Assist the CEO in managing day-to-day operations, with a focus on improving efficiency and organizational effectiveness.
Drive the execution of key initiatives across the organization, ensuring teams are focused and productive.
Collaborate with other senior leaders to ensure that strategic initiatives are well-executed and aligned with the firm’s objectives.
Work with the CEO and Executive Leadership team to foster a strong, collaborative, and mission-driven culture.
Position Requirements
Formal Education & Certification
Bachelor’s degree (required): Business Administration, Finance, Operations Management, or a related field. An MBA or advanced degree is often preferred.
Certifications (optional): Project Management Professional (PMP), Lean Six Sigma certification, or certifications in executive leadership or organizational strategy could be a plus.
Leadership Training: Formal leadership or executive education programs may also be valuable, such as courses from business schools or leadership institutes.
Knowledge & Experience
Business Acumen: 10+ years of experience in financial services, consulting, or a similar leadership role is required. A strong understanding of financial statements, budgeting, and forecasting to assist with high-level decision-making.
Project Management: Experience with project management methodologies (Agile, Waterfall, etc.) and tools (e.g., Trello, Asana, Monday.com) to manage cross-functional initiatives is preferred.
Strategic Planning: Familiarity with creating, executing, and tracking strategic plans that align with company goals. Experience in strategic initiatives and long-term business planning.
Risk Management: Experience in identifying risks and managing business continuity plans or crisis management protocols.
Data Analysis & Reporting: Proficiency in analyzing data and metrics, tracking KPIs, and using dashboards for progress reporting. Tools like Excel, Tableau, or Power BI could be useful.
Operations Management: Deep knowledge of operational processes, systems implementation, and workflow optimization to ensure efficient day-to-day operations.
Tools: Experience with Customer Relationship Management (CRM) systems, like Salesforce, as well as Entrepreneurial Operating System (EOS) is a plus.
