About the Role:

We’re looking for a dynamic Executive Assistant to support our Gusto Embedded Payroll (GEP) team, providing administrative and operational support to 2-3 leaders of our Engineering, Revenue and General Business functions. You’ll collaborate with other EAs and key stakeholders across the company and be pivotal in keeping leaders within Gusto’s fastest growing segment organized, productive and equipped to lead.

You’ll also be a resource to the broader GEP team with a range of ownership responsibilities including support for All-Hands, team on-sites, events, onboarding and operationalizing where needed. The right person for this role will be proactive, highly organized, diplomatic, resourceful, a strong communicator and thrive in a fast-paced, builder environment. You will be empowered by the Senior Executive Assistant to the co-founder, GEP’s executive sponsor.

About the Team:

The Executive Operations (Executive Assistant) Team at Gusto acts as a "glue function" responsible for administrative, executive and operational excellence across teams.

Gusto Embedded is Gusto’s embedded payroll platform that allows businesses to embed a payroll offering into their current product(s) and is one of our fastest growing and scaling teams within the Gusto platform.

Here’s what you’ll do day-to-day:

Calendar support:

Manage 2-3 calendars, owning internal and external meeting scheduling and the never-ending game of calendar tetris

Org support:

Partner with the Senior Executive Assistant and the Chief of Staff to ensure operational effectiveness for the org. This includes quarterly meeting audits and keeping an eye out for operational inefficiencies and recommending improvements when you see them

Meeting management:

Partner with your leaders to build team cadences and support day-to-day meetings by tracking notes and action items as needed

Travel planning : Book and arrange flights, hotel accommodations and other coordination needs when your leaders are traveling

Event planning and community building:

Coordinate team on-sites and other community building events and partner on All-Hands and other team-wide meetings/events

Relationship builder:

Your role is vital to partnering with our internal cross-functional stakeholders and external partners, so it’s important you develop positive rapport and are able to maintain diplomacy at all times

Special projects:

Partner with the Senior Executive Assistant and your leaders on special projects as needed

Trusted partner:

Uphold a strict level of confidentiality and discretion with all sensitive information and become a trusted partner to your leaders

Here’s what we're looking for:

3+ years of experience as an Executive Assistant supporting VP-level executives

Highly motivated, proactive and organized with strong attention to detail and ability to work productively with minimal supervision

Ability to organize team events for ~50 participants, including remote and hybrid participants

Proficient in Google Suite (Gmail, Calendar, Docs, Sheets, Forms), Slack, Zoom and Asana (preferred but not required)

Ability to handle high volume of scheduling requests with multiple stakeholders

Strong, concise and clear written and verbal communication with internal and external stakeholders

Demonstrated ability to maintain strict confidentiality, navigating sensitive situations with professionalism and discernment

Ability to manage multiple competing priorities and adapt quickly to shifting business priorities and leader needs

Someone who is curious, wants to learn and is excited to contribute to a scaling business line

Our cash compensation amount for this role is $102,000 to $126,000 for San Francisco. Final offer amounts are determined by multiple factors including candidate location, experience and expertise and may vary from the amounts listed above.
