Morgan Stanley seeks a bright, energetic, Executive Assistant with a minimum of 5 years' experience in a corporate environment. The position requires a high level of professionalism and business etiquette. Candidates must be able to learn quickly and engage in a number of detailed tasks at once.

Job Responsibilities:

Coordinate travel arrangements. Obtain appropriate approvals for travel, especially exceptions to company policies. Arrange other aspects of travel such as hotel stay and ground transportation. Prepare detailed expense reports and reconcile payments with corporate card on a timely basis; confirm all job numbers, if applicable. Maintain filing system for all expense reports. Answer phones, respond to inquiries, properly route calls, and take detailed messages. Use appropriate judgment with both internal and external calls. Help clients with ad hoc requests, conference call requests with analysts, research requests and models, and researching questions on specific companies. Maintain client contact information for internal systems. Add clients to distribution lists as requested. Coordinate Analyst marketing for U.S. and International trips; liaise with New York and Asia/Euro teams regarding marketing purposes and logistics. Coordinate meeting schedules with clients. Order food and cars as needed. Forward research, models, daily emails to clients and other information as necessary. Organize internal and external meetings including any reservations, conference room bookings, catering, and audio/video requirements. Handle requests for sponsorships and contributions adhering to appropriate procedures. Process invoices for payment inclusive of vendor set up requirements if necessary. Provide backup support for colleagues during vacation/sick days, and assist their bankers as needed.

Required Skills and Personal Attributes:

Excellent communication, judgment, and problem-solving skills. Strong attention to detail as well as solid organization/time management skills. Enthusiastic team player who works well with others and/or independently. Thrives in a fast-paced environment and handles multiple tasks concurrently. Highly service-oriented individual willing to take initiative. Adapts well to ongoing changes in administrative coverage requirements.

Other Requirements:

Relative corporate experience / financial industry background preferred (5-7 years of experience). Concur expertise a plus. Proficient in all Microsoft Office applications, especially Outlook for email, calendar, and contacts.

Expected base pay rates for the role will be between $60,000 and $110,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
