Executive Assistant to the CEOHybrid, 2-3 days in office/weekJob DescriptionWe are seeking a highly organized and experienced Executive Assistant to support the President of a small, family-owned company that manufactures and distributes high-temperature adhesives. This role requires a dedicated professional who thrives in a dynamic and fast-paced environment and is capable of managing a variety of tasks with precision and discretion.Responsibilities+ Manage the President's calendar, schedule appointments, and coordinate meetings.+ Maintain and update itineraries for internal meetings.+ Screen and prioritize incoming emails, calls, and correspondence.+ Prepare and edit documents, reports, and presentations as needed.+ Prepare (or assist with) meeting agendas, attend meetings, and record minutes.+ Ensure the President is well-prepared for all meetings with necessary notes, materials, and information.+ Follow up on action items resulting from meetings.+ Act as a liaison between the President and internal team members as well as selected external vendors and clients.+ Coordinate and organize special projects as directed by the President.+ Prepare correspondence to internal team members and outside clients/vendors as needed and directed.Essential Skills+ Bachelor's degree in Business Administration or a related field.+ 5+ years of executive administrative or C-suite experience.+ Strong communication skills.+ Proficiency in Microsoft Office and Excel.Additional Skills & Qualifications+ Experience with Outlook and calendaring.+ Proven ability to provide executive-level administrative support.Work EnvironmentThis role is based in Brooklyn, near Sunset Park, and involves working on the 2nd floor with the administration team. The team includes members from AP, accounting, customer service, finance, and sales.
