OverviewSeeking a proactive, highly organized administrative professional with executive support experience for a role based in Great Falls, MT, with limited travel to Palm Beach Gardens, FL. This role requires strong organizational, project management, and communication skills to support the President and Director of Human Resources in ensuring efficient business operations.
ResponsibilitiesCoordinate communication between executives, stakeholders, and team leaders; attend meetings, take notes, and manage follow-Client.Support executive leadership in project management, including preparing reports, presentations, and materials.Manage scheduling, including executives' calendars, coordinating meetings, setting up conference rooms, and organizing events.Arrange travel for employees, ensuring cost-effectiveness and policy compliance; review and validate expense reports.Maintain filing and organization of contracts and records; manage document security and offsite storage.Update and distribute internal publications, including staff directories.Requirements
Bachelor's degree in business, communications, or related field (or equivalent experience).5+ years' experience in executive-level administrative support.Proficiency in Microsoft Office and familiarity with travel and expense management systems.Strong project and time management skills, attention to detail, and adaptability to changing priorities.Effective verbal and written communication skills, maintaining confidentiality and professionalism.Ability to work independently and in a team, comfortable with administrative challenges in a small company environment.Physical Demands
