Description
This position supports the efficient operation of the Facilities department. He/she is responsible for receiving and sorting incoming mail to distribute to other departments or individuals in a fast-paced environment.
Responsibilities include, but are not limited to the following:
Serve as primary back up for the Facilities and Mailroom Coordinator; Perform general mailroom activities such as sort and date stamp incoming mail
Responsible for opening of all paper claims, sorting and date stamping for claims department
Responsible for preparing all outgoing mail
Prepare bulk mailings (e.g., fold letters, stuff envelopes, address envelopes, sort mailings by zip code, deliver mailings to the post office, etc.)
Serve as primary back up for the Receptionist; acts as point of origin for visitors, carrying out receptionist duties and directing visitors to the proper room and staff member
Ensure that visitors and vendors are signed in/out, coordinate badges for visitors
Stock all coffee, paper towel and general supplies
Fulfill supply order requests for employees
Place service calls with various vendors
Deliver copy paper to all common areas throughout the company
Responsible for the process of setting up conference rooms and cafeteria for special meetings; employees request special set-up or additional tables and chairs
Tidy up all conference rooms on a daily basis; cleaning of whiteboards, straightening out chairs and wiping the tables
Other duties as assigned
Corporate Compliance Responsibility - As an essential function, responsible for complying with Neighborhood's Corporate Compliance Program, Standards of Business Conduct, applicable contracts, laws, rules and regulations, policies, and procedures as it applies to individual job duties, the department, and the Company. This position must exercise due diligence to prevent, detect, and report unlawful and/or unethical conduct by fellow co-workers, professional affiliates, and/or agents.

Required:
High School Diploma or equivalent
Good interpersonal and customer service skills
Detailed oriented individual with strong organizational skills
Ability to be flexible and adapt to an ever-changing work environment
Basic knowledge of Microsoft programs (Word, Excel, Outlook)
Strong work ethic who can work well with all levels of the organization
Consistently demonstrates professional demeanor, appearance, and attitude
Proven ability to remain calm under pressure, resilient, with sound judgment and problem-solving ability
Ability to move up to 50 lbs.
Preferred:
Experience in a Mailroom/Facilities environment
Experience with the operation of various office machines such as copy machines, folder/inserter, postage meter; copy assignments
