Responsibilities:
A document control specialist manages a company's documents, including creating, storing, organizing, and updating them. They ensure that documents are accurate, meet legal and company regulations, and are accessible to authorized personnel (Regulatory Compliance).
Monitoring documents: This includes paper and electronic documents, customer and vendor documentation, and technical correspondence (Lexis Nexis, Tax Exemptions, D&B Reports, Background Checks, Contracts)Associate Compliance: Make sure required associates are compliant with Anti-money Laundering, Integrity and Data Privacy trainings.Redact, Implement and Communicate Global and Internal Policies, Guidelines and Procedures. (Internal Control)Archive documents: Archive inactive records and documents. (Data Secure and Protected)Risk Assessment: Keep record of Risk assessment Controls per department, keep logs and agreements, and provide backup support to area managers.Support audits: Assist with audits, reviews, and reporting related to document control and compliance.Document control specialists should be detail-oriented, analytical, and have excellent Written communication skills. They should also be proficient with Microsoft Office Suite and be able to learn project-specific software.
