Since 1972, ALC has fought to protect access to affordable housing in San Francisco’s Chinatown, litigated high-profile civil rights cases, advocated for the passage of landmark policy changes, and provided an array of services to low-income immigrants and communities of color. Today, with a staff of 60 we bring together legal services, community empowerment, and policy advocacy to fight for immigrant justice, economic security, and a stronger, multiracial democracy. Our work is rooted in the San Francisco Bay Area and California and expands to states across the country, including places where immigrant, Asian, Arab, Middle Eastern, and Pacific Islander communities are rapidly growing.ResponsibilitiesUnder the supervision of the Operations Manager, this role supports the day-to-day operational functions of the organization.Responsibilities include:Keep internal resources up-to-date on the ALC Intranet and ensure staff can access operational tools and materials easily.Collaborate with the Operations Manager to provide training on essential business systems such as Zoom, Envoy, Slack, Clio, and SharePoint; monitor and report on system usage to enhance efficiency.Support maintenance of office facilities in San Francisco and Oakland, including equipment, supplies, and overall upkeep; travel between sites as needed.Coordinate ordering, maintaining inventory, storing, and distributing office supplies and materials to ensure everything is well stocked and organized.Act as the primary point of contact with the outsourced IT provider; coordinate office equipment and software installations, troubleshooting, and external repairs.Monitor operations support requests and respond to communications in a timely manner; direct inquiries to outside vendors as needed and support timely resolution.Monitor recurring or priority issues and drive timely resolution, with the Operations Manager.Assist with event planning and coordination, including logistics, vendor management, and materials preparation.Set up workspaces and assist in onboarding new employees to ensure a seamless transition into ALC.Coordinate facility support, work with service vendors, create project reports, and maintain records, with the Operations Manager.Administer office systems such as ALC’s Envoy desk scheduling platform.Coordinate internal meetings and trainings, including scheduling and room set up.Take or compile transcribed notes for meetings as assigned.Help implement and monitor ALC’s Illness and Injury Prevention Program, including site safety and incident reporting.Conduct internal safety training and drills, including illness and injury prevention, fire safety, and emergency procedures, with the operations manager.Serve as a point of contact during onsite emergencies (e.g., fire or security alarms) and coordinate with vendors and responders to resolve issues promptly.Support administrative tasks, including managing expenses, databases, vendor coordination, staff schedules, and communications, as assigned.Provide timely and organized responses to service requests with a high level of customer service.Other duties as assigned.All ALC staff are expected to participate in regular check-in meetings with their supervisor/supervisees, staff meetings, team meetings, and other organization meetings, as required. This includes two (2) annual retreats, an anniversary celebration dinner, and meetings as needed in the San Francisco Bay area.The above statements are not intended to encompass all functions of the position; rather, they are intended to provide a general framework of the position's requirements.
