Job Description

Essential Functions/Major Responsibilities:

Reception Desk - (5% of Time):Respond to controlled entry (doorbell or phone call); greet incoming vendors, and visitors, serve as face of company.Ensure visitors sign visitor log and issue visitor badges and arrange for employee escort.Assist with vendor deliveries (e.g. Micro Precision, Corodata, USPS), food and coffee services, building vendors and building services, and contact appropriate employee for receipt of packages.Sort incoming mail to appropriate departments as needed.Sell stamps and movie tickets to employees and maintain inventory.HR & Employee Services (25% of Time)

Serve as first point-of-contact on the Human Resources team. Greet, screen and direct internal and external customers to appropriate HR staff member. Answer a broad spectrum of HR questions, via e-mail, phone or in-person, and provide forms, information, or point to appropriate resources.Share responsibility with HR Coordinator to file employee documents in personnel files and assist with year-end archiving.Create FedEx label to ship overnight packages.Prepare purchase orders (one-time or blanket) and process invoices for goods and services for HR department.Coordinate the employee recognition programs (Applause and Above & Beyond) track performance-based recognition recipients and ensure gift card supply is maintained.Coordinate HR Poway employee birthday recognition-card and celebration.Coordinate a variety of programs and drives such as Toys for Tots, Food Drive, Blood Drives, etc.Order employee flowers and plants for U.S. employees for significant illnesses, accidents or bereavement.Help coordinate the annual service awards lunch event, including invitations, programs, food, beverages, etc.Own the employee badging system. Troubleshoot badge access issues, maintain security access database, and deactivate employee access as needed. Audit on-site providers (Coverall & G4S) to ensure inactive employee badges are terminated - formCoordinate Costco supply orders for HR department as needed. 562-607-5573Maintain and update the company telephone list of extensions and cell phone numbers, per the process.Maintain company store of Cohu logo items, replenish as needed, and create new logo items.Review updates and order/post labor law and other legal posters/notices on an annual basisSupport annual ISO update of documents for HR Poway and support annual EEO and AA filings as requested.Order and post labor law and other legal posters/notices.Update employee bulletin boards on a regular basis - post for the HR department.Serve as vendor interface on coffee machine, vending machines and on-site market/kiosk (First Class Vending). Maintain open line of communication with facilities on coffee supplies and machine maintenance. Reach out to vendor with any concerns.Recruiting (30% of Time)

Maintain Open Position List (OPL) daily to accurately reflect staffing decisions and activity via CRR process, recruitment and selection decisions. Manage job postings Handshake, Indeed, ORC Recruiting Module/Cohu Career Center)Administrator for Applicant Tracking System (ORC) for job postings and candidate dataReview and manage ORC (requisitions and new hire notices in CRR system) for regular and temporary positions (requisitions, new hire notices)Review & Manage WEBCRR's for temporary termination tickets and exit process.Primary recruiter for temporary, intern, and designated regular hire positions (sourcing, screening, evaluating, scheduling, interviews, dispositions).Intern Program: Manage intern program experience/POC (recruiting, engagement, evaluations, transition to full-time or internship end). Determine need for internships in various groups (scope of work, duration, compensation). Maintain relationships with local colleges and universities. Attend and coordinate career fairs and networking events.Send out offer letters and new hire packets. Utilize ORC to add hire dates, print resumes, and help with extended applications. Follow up to close/acceptance.Coordinate pre-employment and first day requisites (background check, drug screen, references). Prepare and assemble new hire personnel files.Create/Send out New Hire Checklist via CRR at least three days prior to start date per the process. Update and maintain regular and temp worker new hire admin checklists as needed.Send out new hire email for instructions for reporting on first day.Create new name plates for new hires, maintain supply of name plates.Internal Promotional/Transfers: Manage internal applicants applying for transfer or promotional opportunities.Temp to Reg Conversions:Coordinate process to convert temp to regular employees, work with manager, prepare CRR and coordinate new hire process.Act as point of contact for agencies on temporary workers' status (i.e. ill, absent, injured, doctors notes, etc.) and terminations and coordinate recruiting activities for temporaries. POC and liaison for all staffing agencies (service agreements, billing)Onboarding and New Hire Orientation (5% of Time)

Prepare new hire packets and new hire gift bags.Greet new employees on first day, facilitate the completion of preliminary paperwork, create badge, and go over rules and regulations associated with badge, building access, and parking. Process and archive I-9 forms.Review online Orientation training process.Enter data into badge system, print and issue badges.Contact hiring manager to facilitate introduction and hand-off.Workplace Safety (30% of Time) Workers' Compensation (5%) Workers' Compensation

Coordinate and maintain schedules for ergonomic evaluations for employees with the ergonomic evaluator; assist Jessica as requested.Maintain related spreadsheets; submit and track work orders placed to the appropriate department for the installation of employee's ergonomic suppliesSafety Council

Serve on the Safety Council, an oversight group to provide updates and alignment on health & safety objectives, discuss and resolve current issues, and be proactive in preventing new issues from occurring.Maintain safety metrics spreadsheet and graphs. Review and discuss safety metrics with Safety Council Chair/members and/or Area Safety Coordinators and participate in root cause analysis as needed.Communications & Program Support

Coordinates safety-related communications and postings for Poway and Costa Rica site as FSE in US.Maintain and update safety bulletin boards and first aid information stations.Manage safety glasses vouchers programs and records.Manage safety shoe vouchers and PO's from Boot World.Generate reports monthly, including evacuation, disaster.Compliance + Policy + Administration

Work cooperatively and effectively with Facilities as required on facilities, EHS and SDS to support compliance and communication for Poway site. Coordinate with Facilities personnel for evacuation drillsTrack, maintain and generate evacuation and disaster reports.Review and maintain ASC inspection reports and follow up as needed..Maintain rosters/spreadsheet of employees in Evacuation, First Responder (First Aid/CPR trained employees) and Area Safety Coordinator roles. Support the Safety Council Chair with replacements due to attrition as needed, including assimilation, training, and update of rosters/lists.Initiate CRRs for ASC safety differential changes to base rates.Follow up with First Aid responders in the facility following an incident in accordance with protocols.Work cooperatively and effectively with Employee Benefits Manager on workplace in response to facilities, job-related changes or training required in response to worker's compensation injuries.Make updates as needed to Safety Manual and related policiesMake updates as needed to Illness & Injury Prevention Program (IIPP)Area Safety Coordinators (ASCs):

Serve as lead and liaison to Area Safety Coordinators; provide training and support.

Workplace Safety Training

Manage on-line and on-site safety training programs and activities; coordinate on-line training assignments in Oracle with Talent Development Partner.Oversee or deliver mandatory and scheduled annual or biannual safety training and facilitate on-site trainings to ensure complianceVerify that safety training requirements are met for Poway and Costa Rica based employees and FSEs in US.Work with Talent Development Partner to ensure follow up to closure/completion in Oracle for mandatory safety trainings.Contracts for safety training with outside vendors.Support pre-training activities by organizing training logistics including reserving conference rooms, coordinating set-up with facilities, scheduling training, and preparing rosters.Assist in scheduling on-site safety training and meetings based on needs from HR or other trainers.Provide support to Talent Development Partner assigning, following up and scheduling yearly safety trainings as requested.Supervisory Responsibility:

None.

Education/Training:

High school graduate or equivalent. Bachelor's degree in business, psychology, or related field required or equivalent combination of education and experience. HR Certificate preferred.

Experience:

Five or more years or progressive human resources

Proven experience in a progressive Human Resources role, in three or more of the following areas:
