An advocacy organization with a focus on foreign affairs and national headquarters offices in Washington, DC is looking to fill an important administrative position on its Events, Marketing and Creative Services team. This role reports up to and supports the organization's Creative Operations Director. This is full-time, temporary role will start in September 2024 and continue for at least seven months, through the end of March, 2025. There is a good chance the role will be extended beyond March and there is a possibility the person chosen for it will eventually be offered a staff position.

This hybrid position will offer a guaranteed weekly wage plus an overtime differential. Please see details regarding work hours, the pay rate and wage terms below. The organization offers employees the opportunity to work from home two days each week, on Wednesdays and Fridays.

ROLE SUMMARY:The hiring organization is seeking a meticulous and organized individual to assist the Creative Operations Director with the day-to-day operations surrounding content creation. The Creative Operations Coordinator will assist with coordinating evolving content requests to ensure efficiency and effectiveness, utilizing Smartsheet as the primary project management tool and collaborating with various teams to ensure strong communication and delivery of creative assets.

JOB DUTIES RESPONSIBILITIES:• Resource Coordination: Coordinate personnel resources effectively to optimize project workflow and productivity. Monitor all creative projects in Smartsheet, from inception to completion to ensure the smooth execution of creative projects.• Wider Team Collaboration: Keep strong communication and collaboration between business operations, speakers, events, copy and post-production teams. Coordinate with team members to ensure alignment on and adherence to project goals, timelines, and deliverables through project launch meetings.• System Management: Help manage the project and event management platform in Smartsheet and ensure it is set up for efficient team workflows. Implement systems changes to reflect team optimization. Serve as a resource for troubleshooting issues and answering questions related to Smartsheet or other creative project management issues.• Asset Management: Upload relevant videos and copy to internal asset Catalog. Assist with updates and developments to the asset management database.• Meeting Assistance: Arrange project launch and ad hoc meetings, ensuring that minutes are taken, and action points communicated. Handle administrative tasks such as scheduling meetings and maintaining project documentation.

QUALIFICATIONS SKILLS:• Minimum of 1 year of experience in a creative or marketing environment, with proven project management skills.• Bachelor's degree preferred, or commensurate experience.• Strong organizational and time management skills, with a keen attention to detail.• Excellent communication and interpersonal skills.• Adaptable and able to handle changing priorities and tight deadlines in a fast-paced environment.• Proficiency in Smartsheet or other project management systems.• A passion for creativity and a desire to contribute to impactful projects.

LOCATION:This is a hybrid position. The organization offers employees the opportunity to work from home two days each week, on Wednesdays and Fridays. The employer's offices are in a building that it owns, which is located a short walk from three Metrorail stops in downtown, Washington, DC.

HOURS:The hiring organization is seeking well qualified individuals who are interested in the following work situation:

(1) an average of 40 hours/week;(2) including a limited number of weekends as major events approach;(3) with a hybrid on-site/remote schedule;(4) starting in September 2024 and continuing for at least seven months;(5) with the possibility of an extension and/or direct hire;(6) for a guaranteed weekly wage.

RATE:Brainstorm Creative Resources strives to pay competitively and we ask our employer clients to help us make it possible to do so. For this scope of work we are offering a pay rate maximum of $1200/week. This is the equivalent to the weekly income generated by working 40-hours/week at $30/hour. It is also the equivalent of an annual salary of $60K.

There will be some overtime required over the seven-plus month duration of this engagement. In such cases, an overtime pay differential will be offered above and beyond the guaranteed weekly wage. We will share specific overtime compensation details with the most well qualified applicants.

The actual weekly rate offered will be commensurate with your experience and will largely based on the following factors: credentials as detailed in your resume, your interview experiences with Brainstorm Creative Resources and/or our client, and quality of reference providers and references provided.
