GENERAL INTRODUCTION

:

The Archbishop is the visible principle and foundation of unity in the particular Church entrusted to him. In a unique and visible way, he makes Christ's mission present and enduring as Shepherd of the Christian Community. In order to fulfill his mission, the Archbishop employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them the apostolic mission and entrusts various responsibilities to them. (Directory on the Pastoral Ministry of Bishops, 198)

Each position employed in the Chancery helps to extend the ministry of the Archbishop in particular ways as outlined in the position description.

NOTE:

This is an appointed position by the Ordinary of the Roman Catholic Archdiocese of Seattle and subject to Archdiocesan Policy pertaining to appointed positions. The supervisor of this position reserves the right to make necessary modifications to this position to reflect current and appropriate responsibilities.

GENERAL SUMMARY OF ESSENTIAL PURPOSE

:

Provides administrative support and assistance to the Tribunal, and assists in the instruction of all types of marriage cases.

ESSENTIAL POSITION DUTIES

:Responds to telephone inquiries about case status, provides proofs and documents regarding archived cases, and refers calls to other staff members as needed, always being aware of and honoring the need for confidentiality. Responsible for processing all mail, including recording and distributing in a timely manner. Facilitates visitors to the Tribunal.Maintains filing system for all cases. Maintains a protocol system for tracking cases. Maintains each case in the Tribunal database with accuracy and timeliness. Prepares all cases for microfiche and permanent archiving. Tracks and manages inventory of office supplies, and orders all Tribunal specific letterhead and other stationary. Prepares payment requests for workshop contracts, maintenance subscriptions, vendor invoices and reimbursement requests for expenses and mileage incurred by judges, defenders, and other court officials.Facilitates the work of the Judicial Vicar, the Judges, the Defender of the Bond, and the Auditors (Tribunal Specialists) work on judicial and administrative cases. Assists potential petitioners in locating Parish based Advocates to facilitate the presentation of cases. Serves in the Office of Ecclesiastical /Canonical Notary for all cases. If fluent in a second language, serves as a translator (in person and in writing), as needed.Prepares and maintains record keeping for Tribunal workshops and presentations; updates the certification status of parish Tribunal advocates and maintains advocate data base.Reviews petitions, completes the investigation, and prepares necessary decision documents and letters for all Lack of Form cases.Reviews and ensures petitions meet canonical requirements, and furthers the preliminary investigation as necessary, for petitions submitted to the Tribunal for all judicial cases.Assists in preparing cases for field staff review and in preparing Seattle cases for full appeal to Court of Second Instance or the Roman Rota as needed.Performs other duties as assigned.Qualifications

ESSENTIAL QUALIFICATIONS:

1. Primary:

Willingness and ability to support the mission of the Church by extending the ministry of the Archbishop.Ability and desire to use God-given gifts and talents in service of the local Church in support of the collaboration between lay and ordained Ministers.Active member of a Catholic parish or faith community in good standing with the Church.2. Education:

AA or equivalent college courses required; focus in liberal arts, preferred.3. Experience:

Completion of Advocate Training provided by the Seattle Metropolitan Tribunal, or Graduate Diploma in Marriage Law and Procedures offered by St Paul University, or completion of the Institute of Matrimonial Tribunal Practice offered by Catholic University of America, or comparable expertise based on experience working in a Catholic Tribunal, demonstrating knowledge of day-to-day tribunal operations, of the basic requirements for annulment processes, of canonical confidentiality, of parish sacramental records, and familiarity with parish operations.Demonstrated proficiency with Microsoft 365 and related programs, Adobe Acrobat, and CaseMaster Tribunal database.Demonstrated capacity to work with Chancery departments, Parish-based Tribunal Advocates, parish staff, and other Tribunals, and excellent skills interacting with parishioners and other inquirers.4. Other Elements:

Excellent interpersonal and public relations skills.Excellent administrative and organizational skills and demonstrated ability to attend to details with a high degree of accuracy and to work effectively with multiple tasks.Excellent verbal communication skills, including telephone skills.Ability to work independently as well as with a team.Ability to maintain confidential information.Fluent in English, both written and spoken; fluency in either Spanish, Vietnamese, or Tagalog also desired.Regular and dependable attendance.

Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant's skills and prior relevant experience, certain degrees and certifications.
