As a Program Coordinator, you play a vital role in our mission to improve lives. As a Program coordinator you shall provide programmatic support for contingent provider recruiting, staffing, and deployment programs. Works with physician leaders to develop and meet program goals, track deliverables and follow-up with key stakeholders and candidates. Coordinates cross-departmental workflows for provider staffing programs. Serves as point of contact for various provider staffing programs across Practice Management (PM), Revenue Cycle Management (RCM), and clinical populations. The Opportunity
Develop workflows for designated provider recruiting, staffing, and deployment programs.
Work collaboratively across departments to expedite candidate process.
Develop and track system for candidate and existing provider evaluations.
Update key stakeholders on candidate processes and program needs.
Serve as a key program contact for established and new staffing programs.
Assist with and delegate action items and conduct subsequent follow ups to adhere to deadlines.
Serve as a super user for tools such as video conferencing platform (RingCentral), SalesForce, ShiftAdmin, Vituity Resource Planning, and Microsoft systems.
Design, gather and analyze program metrics to measure effectiveness, return on investment, and future program needs.
Brainstorm and research new ideas, tools, and processes to expand programs, reach candidates, and streamline processes.
Support payroll process for key staffing programs and function as key contact for payroll concerns by candidates and leadership.
Meet regularly with recruiting, credentialing, and onboarding to prioritize program candidates.
Meet regularly with physician leaders and site personnel to prioritize onboarding and staffing.
Work with program leadership to develop workflows to deploy providers timely.
Manage shared tracking mechanism for all priority staffing programs and candidate onboarding process.
Act as key contact and support logistics for program meetings and events.
Manage program tools and resources, create content and platforms to increase awareness and collaboration.
Assist with special projects as needed.
Support designated physician program leaders and priority candidates with administrative support, including but not limited to, expense management, calendar management, travel arrangements, meeting support, meeting agendas, meeting minutes.
Act as a liaison for physician program leadership to ensure excellent and clear communication related to program and communications about the program.
Perform targeted communication follow up on physician candidates on behalf of physician leaders as necessary.
Support physician leaders with various program projects and tasks.
Schedule and coordinate provider availability as needed.
Performs related duties as required.
Required Experience and Competencies
High School Degree or equivalent and 1-2 years of administrative experience, preferably in a healthcare/medical group setting required.
2+ years of administrative experience in provider recruiting, staffing, or scheduling preferred.
Knowledge of provider credentialing requirements preferred.
Experience with project coordination/management preferred.
Bachelor’s degree in Business Administration, Public Health, Human Resource Management, or related field preferred.
Data entry with minimal errors.
Analyze data accurately and thoughtfully.
Troubleshoot technical or live event issues effectively.
Intermediate MS Excel, Word, PowerPoint, and Outlook skills.
Ability to use office equipment and automated systems/applications/software at an acceptable level of proficiency.
Video conferencing experience preferred.
Eye for presenting visual material.
Create engaging presentations.
Ability to establish and complete general office procedures and records administration.
Excellent organizational and time management skills with the ability to handle multiple assignments and action items with varying priorities under conditions requiring speed and accuracy.
Ability to work independently with drive and initiative as well as work well within a team setting.
Ability to use resources effectively and balance the needs of colleagues.
Strong attention to detail.
Ability to build rapport quickly and establish and maintain productive, trust-based, and effective relationships with a wide array of individuals across diverse client groups.
Ability to maintain flexibility, cooperation and participate in cross-organizational performance improvement activities.

We are excited to share the base salary range for this position is $24.28 - $30.36, exclusive of fringe benefits or potential bonuses. This position is also eligible to participate in our annual corporate Success Sharing bonus program, which is based on the company’s annual performance. If you are hired at Vituity, your final base salary compensation will be determined based on factors such as skills, education, and/or experience.
