Directed by Dr. Gene Bukhman, the Center for Integration Science (CIS) in Global Health Equity develops, implements, and evaluates integrated care delivery models to address neglected health issues in highly constrained health systems. The most prominent of those models is PEN-Plus (the Package of Essential Noncommunicable Disease Interventions - Plus). PEN-Plus is a proven integrated healthcare delivery strategy for delivering complex care to people living with such conditions as type 1 diabetes, sickle cell disease, and rheumatic and congenital heart disease in rural sub-Saharan Africa and South Asia.
The CIS is part of the Harvard-affiliated Brigham and Women's Hospital (BWH) and works closely with the Department of Global Health and Social Medicine at Harvard Medical School. The CIS is also the World Health Organization's Collaborating Center for Integration Science and Service Delivery. It further serves as one of two co-secretariats for the 22-country NCDI Poverty Network, as well as its strategic initiative, the global PEN-Plus Partnership.
To accomplish its ambitious mission, the CIS provides technical, policy, advocacy, and financing support for national NCDI Poverty Commissions in Network countries as they progress through a four-phase theory of change. This theory of change starts with situation analysis and ultimately leads to the implementation of PEN-Plus at a national scale.
The Project Coordinator will be responsible for providing administrative support to the CIS Executive Director and Finance and Administrative Team to coordinate various activities to ensure the efficiency and effectiveness of the Center. The Project Coordinator must demonstrate excellent attention to detail, the ability to multi-task, and to function effectively in a start-up environment.
Principal Duties and Responsibilities:Manage the Executive Director's complex calendar and travel.Manage a high volume of domestic and international travel for staff including facilitation of all logistics such as booking flights, accommodations, ground transportation, and processing expense reports.Provide training to newly onboarded staff on travel policies and procedures; serve as the point person for all travel-related questions.Process expense reimbursements for staff and faculty; process check request vouchers and other forms of reimbursement requests; work with BWH Purchasing and Accounts Payable to resolve any Purchase Order or reimbursement issues.Manage monthly corporate credit card reconciliation process, including submission of all receipts and supporting documentation.For larger meetings, schedule, send notices, reserve space, coordinate catering, set up conference lines.Process monthly consultant invoices and annual consultant contract amendments.Effectively use and help organize strong electronic document storage systems.Maintain contact lists (internal and external), making periodic updates as staff and contacts change.Purchase and process annual renewals of requested software subscriptions for staff and other supplies and materials, including business cards and other items as needed.Provide support in preparation of large scale in-person conferences and events including preparation and printing of materials, set-up, breakdown, greeting guests, note taking, etc.Support administrative process for hiring new faculty (posting job, scheduling interviews, etc.).Responsible for overseeing the Person of Interest (POI) onboarding process. Work with the Office of Sponsored Staff and Volunteer Services to add POIs to the system. Track POIs and refresh their status as directed by research leaders by extending their time or terminating them.Assist with occasional domestic and international shipments.Perform other administrative duties as assigned.
Qualifications:
Bachelors degree in relevant field required.2-5 years experience in administration, project management or other applicable field.Strong administrative skills; ability to multi-task and function effectively in a start-up environment.Excellent attention to detail.Background in administrative project management.Mastery of Microsoft Suite products, including Outlook email and Calendar as well as Google Calendar.Strong interpersonal/communication skills.
