Req #464Friday, October 18, 2024Job Title:Marketing CoordinatorJob Summary:The Marketing Coordinator will play a pivotal role in shaping and executing our presence at major global industry events. This person will ensure that our company stands out with an impactful presence at trade shows, while managing logistics, coordinating with vendors, and working cross-functionally to align marketing materials with our goals and vision. The ideal candidate will have experience in event coordination, a keen eye for detail, and the ability to juggle multiple priorities while ensuring seamless event execution. The role requires moderate international travel.Duties/Responsibilities:• Trade Show & Event Coordination:Plan and manage our participation in global trade shows and conferences, ensuring all logistics, registration, booth setup, and marketing materials are handled efficiently and effectively.• Event Strategy Execution:Collaborate with the marketing and business development teams across Seas Geosciences – and often with other Woocheen businesses – to align trade show and event strategies with company objectives, positioning our organization to maximize visibility, lead generation, and credibility in the market.• Vendor & Partner Management:Coordinate with external vendors, booth designers, and conference organizers to ensure all aspects of booth setup, displays, and promotional materials are delivered on time and to specification. Support logistics associated with sponsorship benefits such as speaking roles and networking events.• Marketing Material Preparation:Oversee the production and distribution of event-specific marketing collateral, such as brochures, presentations, digital assets, and giveaways that align with brand messaging and stakeholder needs.• Pre-Event and Post-Event Communication:Work with internal teams to prepare pre-event campaigns, invitations, and outreach strategies, and follow up post-event to capture leads and assess event ROI.• Budget Management:Assist in managing the events budget, ensuring all costs associated with trade show participation, materials, travel, and vendors are accurately tracked and within budget.• Industry Trends & Best Practices:Stay informed about current trends and best practices in trade show marketing and event management, bringing fresh ideas to enhance our presence and impact and make the most of the marketing budget.• On-Site Event Management:Attend select trade shows to oversee booth setup, coordinate on-the-ground activities, and ensure smooth operation of events, from staff coordination to customer interactions.• Other duties as assigned.Required Skills/Abilities:• Strong project management skills with exceptional attention to detail and organizational abilities.• Ability to manage multiple events, deadlines, and priorities simultaneously.• Excellent English written and verbal communication skills. Ability to speak and write in additional languages a plus.•
REQUIRED: Familiarity with current trade show trends, technologies, and best practices.• Comfortable with international travel (approximately 10-20% of the time).• Proficiency with Microsoft Office Suite and experience using event management software and CRM tools.• Ability to work independently and collaboratively in a fast-paced environment.Education and Experience:• Bachelor’s degree in Marketing, Communications, Business, or a related field.• 2+ years of experience in marketing, event planning, or trade show coordination.Working Conditions:The physical and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
