AGG is looking for a dynamic, ambitious, and talented individual to join our growing team. The Client Events Manager is the primary leader responsible for planning, coordinating, and executing client-facing and high-profile firm events. This role encompasses the entire event lifecycle, including planning, logistics, and post-event evaluation. In collaboration with the Marketing and Business Development team, the Client Events Manager will oversee client-facing events, seminars, sponsored conferences, receptions, and trade shows.

OVERALL RESPONSIBILITIES

Strategic Planning & Audience Targeting:

Lead the strategic planning, coordination, and execution of the firm’s client-facing events, ensuring seamless management from concept to completion.

Collaborate with attorneys and stakeholders to identify target audiences for events, ensuring the right mix of clients, prospects, and industry influencers are invited.

Conduct pre-event meetings with attorneys to establish agendas, define objectives, and provide strategic direction for each event.

Host post-event debriefs with key stakeholders to assess outcomes, gather feedback, and develop client follow-up strategies to support business development efforts.

Event Execution & Logistics:

Develop and maintain comprehensive event checklists to ensure successful execution.

Source venues, negotiate contracts, and manage logistics for off-site events.

Oversee the delivery of registration materials, including name tags and handouts.

Book conference rooms, order catering, and liaise with hospitality staff for on-site events.

Supervise the setup and breakdown of equipment, materials, and exhibits at event locations.

Manage the production and setup of visual presentations for events.

Handle on-site event registration and ensure all guests are welcomed smoothly.

Collaboration & Communication:

Collaborate closely with the Marketing and Business Development teams to establish event objectives, promotional plans, and design branded materials.

Coordinate with the Marketing Manager & Communications Manager for event communications, ensuring adherence to firm style and branding guidelines.

Provide event details for dissemination across the firm’s website, social media channels, and internal calendars.

Metrics, Evaluation & Follow-Up:

Track RSVPs and provide regular updates to event stakeholders.

Evaluate event performance through post-event analysis, including gathering metrics such as budget versus actual costs, attendance rates, and goal fulfillment.

Manage follow-up tasks, including preparing attendance reports and budget summaries.

Gather and analyze reporting metrics to provide recommendations for future events and identify opportunities for improvement.

Vendor & Resource Management:

Maintain an extensive knowledge of local restaurants, hotels, and venues, as well as maintain relationships with vendors.

Hire and manage external vendors to meet event-specific needs.

Coordinate vendor contracts and ensure all event-related services are delivered as expected.

Travel & Flexibility:

Willingness to travel to firm functions as needed, often outside of regular work hours.

TECHNICAL SKILLS

Advanced knowledge of Microsoft Word, Excel, PowerPoint, and Outlook is required.

Experience with CRM systems such as Microsoft Dynamics (Legal 360) is a plus.

Experience with email marketing software such as Concep is a plus.

Experience using Adobe Creative Suite is a plus.

Experience with meeting and room scheduling software is a plus.

EDUCATIONAL AND EXPERIENCE REQUIREMENTS

College degree in hospitality management, marketing, business, or another related field.

7+ years of experience in event planning, marketing, business development, OR an equivalent combination of education and experience.

2+ years of supervisory experience in an events or marketing position.

Marketing and event planning experience for a law firm is strongly preferred; experience in the professional services industry in a marketing or event planning capacity or with a marketing agency is desirable.
