Outstanding benefits.The Onboarding Specialist works as a liaison between Human Resources, leaders, candidates, new employees, students, and contracted staff for recruitment and onboarding tasks and activities. Duties include coordination of the full onboarding process from posting open positions to managing new employee orientation, as well as offboarding of separating employees. This position actively communicates with leaders to update them on progress, status, and tasks needed to ensure new hires are fully prepared and ready for the first day of orientation. At the direction of the Director of Human Resources, the Onboarding Specialist assists with miscellaneous HR tasks, projects, and initiatives as needed.STANDARD EXPECTATIONSPromotes a Positive Working Environment

AREA OF RESPONSIBILITYDUTIES & RESPONSIBILITIESRecruitmentCreates, maintains, and closes positions in the applicant tracking system, ensuring data accuracy.Coordinates and communicates regularly and effectively with leaders to ensure all positions are posted accurately and timely.Assists applicants with the application process when needed.Extends employment offers to non-leadership candidates.Creates all documents related to a candidate offer (i.e., offer letters, signing bonus agreements) in a timely manner and according to WHMC policy and procedure, ensuring appropriate approval of offer terms and accuracy of information contained in the candidate offer documents.Assists in organizing and participating in recruitment events, job fairs, and other talent acquisition initiatives.Negotiates and maintains recruitment contracts with outside vendors.Coordinates with staffing agencies to provide contract staff as needed.OnboardingCreates and manages New Employee Orientation onboarding checklist for all new hires.Coordinates New Employee Orientation, including scheduling, notification, materials, and set-up.Provides Employee Health, Administrative Support, and Quality departments with appropriate new hire information and start date.Assigns all onboarding tasks to new hires via HRIS.Ensures completion of background checks, drug screens, and verification of licensure and certifications for staff prior to start date.Provides Payroll and Benefits Specialist with appropriate information to process initial payroll and incentives for new hires.Partners with IT and EPIC teams to ensure all appropriate permissions and access is granted to new hires.GeneralAssists employees with general HR inquiries, including policy interpretation, leaves of absence, and employee benefits.Audits, reviews, and maintains employee file documentation for compliance and proper storage; scans records into HRIS.Processes employee terminations in HRIS; schedules exit interviews and notifies the appropriate departments to remove access to facilities and systems.Participates in department process improvement activities.Performs other HR duties as assigned.QUALIFICATIONSRequiredAssociate’s degree or certification in Human Resources, Accounting, Business Administration, or related field; an additional two (2) years of HR experience may be substituted in lieu of education.Two (2) years of experience in a related Human Resources function (i.e., recruitment, onboarding, HR administrative support).Experienced user of Microsoft Word and Excel.Excellent customer service skills to provide positive new hire experience.Effective and professional in both written and verbal communications.PreferredBachelor’s degree in Business Administration, Human Resources, or related field.Experience with Workday HRIS.HR certification.Prior healthcare experience.WORK ENVIRONMENT AND PHYSICAL DEMANDSThis position is primarily worked in an office environment. Primarily stationary with occasional standing, walking, lifting, reaching carrying, kneeling, bending, stooping, pushing and pulling of objects weighing up to 20lbs. Medical insurance begins on day one. Add-on compensation for hourly positions rewards additional training and education. Differentials apply for evening, night, and weekend shifts. Full time employees (80 hours per pay period) can accrue 23 8-hour PTO days per year, which increases with longevity.
