Job Overview
In support of the United States Agency for International Development (USAID) M Bureau Institutional Staff Support (MBISS) contract, the Administrative Management Specialist performs administrative functions that service and/or fulfill a number of organizational management requirements to include advising leadership, maintaining databases, preparing administrative paperwork, drafting correspondence, recommendations and reports, and providing other administrative tasks as required.Salary Range: $95,000 to $115,000Work Model: Onsite/Office-Based
Responsibilities
Essential Duties & Job Functions:The Administrative Management Specialist will perform administrative functions such as:Applying existing and new policies within a dynamic environmentIdentifying and advising on requirements while maintaining databases and records that reflect the fulfillment and/or status of requirements and/or systemsPreparing administrative paperwork, and maintaining an awareness of the status of the organization's personnel actionsDrafting correspondence, recommendations, reports, and memoranda related to management and administrative programs and issuesProviding advice and guidance to managers and employees on questions and situations related to the administrative services providedPerforming program liaison duties to address human resources administration issues that are not always susceptible to direct observation and analysis, such as developing informational materials based on knowledge of internal operations, agency human resources policies, budgetary constraints, and work prioritiesCoordinating management reports for rewards and performance and other HR related program servicesReviewing, analyzing, and interpreting human resources management requestsRecommending appropriate action or suggesting alternatives, and alerting managers to problems that require USAID Human Resources office intervention or correctionConducting periodic surveys of equipment and property use, recommending action as necessary to ensure economical and efficient use of equipment and propertyPlanning and coordinating office moves; and reviewing office staffing needs, plans, and goals to support the development of budget data and justification for review and approvalOther duties as assigned
Job Requirements
Mandatory:Bachelor’s Degree in a related fieldMinimum of two years professional administrative management and human resources administration experienceUnited States CitizenAble to pass Federal National Agency Check with Inquiries (NACI)Must have active SECRET level security clearanceDemonstrated proficiency in Microsoft Office, internet, email applications, and database applicationsDemonstrated ability to appropriately handle sensitive and confidential informationProcess oriented with demonstrated problem-solving skillsAbility to professionally interact with clients at all levelsReasonable Accommodation:CGS will provide reasonable accommodations, according to applicable state and federal laws, to all qualified individuals with physical or mental disabilities.
