Research Administrator III (RA)

is a high-level career position which supports the faculty and lab personnel in the Translational Science and Therapeutics Division by providing support in grants and contract management (Pre- and Post-Award), budget development and monitoring, regulatory administration, and general day-to-day operations of the program faculty. The financial portfolio is comprised of various sources of NIH, foundation, industry, professional society, internal pilot, subawards, and institutional support and includes regulated activities.This role is part of a team of Research Administrators and Administrative Coordinators which provides a network of peer resources and team environment supporting the program faculty. The position will work under the direction of the Program Operations Director and will act independently in performing daily responsibilities, partnering with program faculty, and interfacing with other departments as needed to provide efficient research administration.This role will have the opportunity to work partially at our campus and remotely.Responsibilities

Funding Source AdministrationResponsible for all pre- and post-award operations for each faculty in their assigned portfolio, providing operational oversight of the administrative implementation and financial management of research studies and associated agreements within the Program.Manages grant submissions and post-award activity by conducting tasks such as:Preparing grant application budgetsCompleting/collating of all technical/non-scientific steps and assigned technical or scientific portions of funding/grant submissionsReview budgets, identify discrepancies and provide recommendations to the PI on scenarios to resolve the issues with appropriate stakeholdersIdentify/forecast personnel and other resource requirements (including long-range forecasting across multiple budget years)Working with faculty to respond to requests from other departments and external organizationsPerform post-award activities, including annual progress report submission and sub-award activation and management.Manage non-sponsored budgets, such as discretionary accounts and gift funds.Prepare monthly budget summaries and reports for PIs.May assist with fiscal management aspects of industry-sponsored clinical trials.Fiscal SupportDevelop, monitor, track, and forecast the budgets for a portfolio of projects with multi-variable aspects (multi-site, sub-awards, milestone-based budgets, etc.).Monitor spending for adherence to grant guidelines and policies, as well as internal policies.Develop, run, and analyze reports to identify funding issues and develop recommendations.Develop customized report formats to share information with each faculty member and for broad audiences across the organization.Regulatory SupportPrepare non-scientific portions of regulatory applications/submissions related to human subjects research.Identify missing regulatory components that are required and resolve issues to ensure successful submission, modification, or renewal.Serve as a central point of contact to answer questions and facilitate solutions.Prepare/consult/advise PIs and maintain Data/Material Use Agreements and other data compliance documentation.Administrative SupportIdentify administrative needs for the department or PIs; prioritize and ensure related tasks are completed.Delegate appropriate tasks to junior RAs and/or Administrative Coordinator and follow up as necessary.Oversee the management of projects including occasional event planning and special work groups.Communicate with other departments/entities on PI's behalf.Other duties as assigned.Qualifications

MINIMUM QUALIFICATIONS:Bachelor's degree or 3 years relevant experienceMinimum of 1 year experience managing federal and/or non-federal sponsored research.Advanced proficiency with Microsoft Office/AdobeWorking knowledge of Excel formulas and functions such as creating formulas and working with Pivot TablesAbility to edit SharePoint sites or basic web pagesKnowledge/prior experience with Enterprise Software SystemsAbility to source data from systems and generate customized reportsEfficiently planning, organizing, and prioritizing your work as well as that of othersAbility to tailor communications to specific audiencesAbility to navigate complex internal systems and departmentsBasic budgetary knowledge (ability to reconcile, manage, report budget information, etc.)Basic knowledge of accounting terminologyKnowledge of relevant regulatory guidelines such as IRB, IACUC, MUAPrior experience or exposure to grant writing/applicationsPREFERRED QUALIFICATIONS:Previous recent grants and contract management experience of more than 3 years.Able to understand, interpret and provide guidance relating to notices of award and terms/conditions for sponsored research.Budget development and management for multiple types of funding mechanisms (NIH, Foundation, Industry, and pilot funding.)Competency working with individuals in remote work settingStrong organizational and problem-solving skills and the ability to manage competing priorities.Excellent verbal and written communication skills and the ability to communicate effectively with personnel from a variety of levels.Ability to exercise sound judgement and make appropriate decisions.Proactive, can anticipate needs, and set and meet deadlines.Capable of working autonomously to complete assigned tasks with minimal supervision/direction.Prior administrative experience in a research or academic setting.Multi-project grants management experience with a wide variety of funding sources.Working knowledge of medical terminology and familiarity with Human Subjects Protection.Exposure to industry-sponsored clinical trials.Prior experience with WorkDay, CLICK products, EPIC, and/or OnCore.A statement describing your commitment and contributions toward greater diversity, equity, inclusion, and antiracism in your career or that will be made through your work at Fred Hutch is requested of all finalists.The annual base salary range for this position is from $82,847 to $124,238, and pay offered will be based on experience and qualifications.
