We are seeking an experienced Executive Assistant to support the Chief Technology Officer (CTO) in a dynamic, fast-paced environment. The successful candidate will be a proactive, highly organized, and detail-oriented individual who can handle multiple priorities with a sense of urgency, confidentiality, and discretion. This position is key to ensuring the smooth day-to-day operations of the CTO’s office, managing complex tasks, and facilitating both internal and external engagements.ABOUT YOUSelf-starter with exceptional organizational skillsAbility to manage multiple priorities with a keen eye for detailProactive problem solver who can work autonomouslyHighly adaptable and resourceful in dynamic environmentsA team player with strong follow-up skills and a sense of urgencyA SNAPSHOT OF YOUR RESPONSIBILITIESCalendar Management & Coordination: Efficiently manage a high-volume calendar for the CTO, including scheduling and prioritizing meetings, calls, and video conferences. Coordinate complex executive-level meetings and events, often with last-minute changes.Internal & External Engagements: Spearhead the coordination and logistics of the CTO’s speaking engagements, both internally and externally. This includes liaising with internal teams and external stakeholders, managing event timelines, materials preparation, and travel logistics.Meeting Preparation & Follow-Up: Prepare meeting agendas, track action items, and ensure follow-up. Assist with preparing presentations, reports, and other necessary documents for key meetings. You will be responsible for collecting information from various departments to prepare the CTO for upcoming meetings.Project Management: Take ownership of special projects that require cross-functional collaboration. Support ongoing strategic initiatives, monitor progress, and ensure timely completion of tasks. Provide operational assistance on a range of internal programs.Communication Liaison: Act as the first point of contact for the CTO, maintaining clear and timely communication across internal teams and external partners. Draft and review correspondence, ensuring alignment with key priorities and objectives.Travel Coordination: Manage all aspects of domestic and international travel, including itineraries, flight bookings, accommodations, and ground transportation. Ensure seamless execution, considering time zones and priorities.Event Planning: Lead the organization of high-profile events, including technology summits, speaking engagements, and networking sessions. Coordinate logistics such as venues, catering, invitations, and post-event follow-ups.Confidentiality & Discretion: Handle sensitive information with the utmost integrity and discretion. You will be privy to confidential projects and initiatives that require careful handling and attention to detail.Cross-Departmental Collaboration: Work closely with teams across the organization to ensure smooth communication and project execution. Assist the CTO in driving organizational goals by ensuring alignment with key initiatives and strategic plans.Task Prioritization & Time Management: Maintain situational awareness and anticipate the CTO’s needs, helping prioritize urgent matters. Be able to manage competing priorities in a fast-paced environment while maintaining a calm, solution-oriented approach.WHAT YOU WILL NEEDPrior experience supporting senior leadership or C-suite executivesProven track record in managing complex calendars, meetings, and events for executivesStrong project management skills with the ability to manage cross-functional initiativesExperience coordinating internal and external speaking engagements and eventsExcellent written/verbal communication and proofreading skillsHigh proficiency in MS Office (Word, Excel, PowerPoint, Outlook)Adaptability to changing situations with minimal notice and ability to work independentlyProfessionalism, discretion, and a commitment to confidentiality in handling sensitive informationAbility to interact with stakeholders at all levels, from senior executives to external partners
