Job Description - Senior Administrative Assistant, DOM Academic Affairs (3309980)What does a Senior Administrative Assistant do?The Brigham and Women’s Hospital Department of Medicine (DOM) is a Harvard Medical School (HMS)-affiliated academic department comprised of >1,400 faculty, 22 divisions, ~$400 million in annual professional clinical gross revenue, >350 residents and fellows, and ~$450 million in annual research expenditures. The DOM is the largest academic department at BWH and among the largest in the country.The Senior Administrative Assistant provides all required administrative support for the Division Chief and Administrator. The Sr. AA will require a high degree of organization, project management skills, and the ability to prioritize assignments. The Sr. AA will utilize a high level of judgment and discretion in dealing with confidential and sensitive matters.Schedule: HybridThe individual can expect to work onsite for a probationary period before moving to a hybrid work schedule (2-3 days in office).• Full benefits: Medical, Dental, Vision, 403b retirement and match, Pension, STD, LTD• PTO – 29 days per yearWhat does a day look like in this role?Perform administrative duties under minimal supervision at the highest proficiency level.Provide direct support to Division Chief and Administrator.Work is highly complex, non-repetitive and often project-oriented.Ability to problem solve and determine best course of action with little direction.Act as a lead, assign and prioritize workflow, troubleshoot issues, assist with training and orientation, and provide backup support for the Supervisor.May direct workflow and lead others. Mentor, train and orient other staff.Work on projects, coordinate work, take initiative using all available resources, follow through on issues when needed.Track expense budgets, perform basic bookkeeping tasks and create financial reports.Provide cross coverage as needed.Follow HIPAA guidelines for the management of patient privacy and confidentiality.Interactions/Interpersonal Skills:Knowledge of practice operations and standards.Understanding of procedures including filing, copying, scanning, printing, and faxing.Highly proficient in all communication skills (phone, verbal and written).Strong organizational, coordination and judgment skills.Advanced computer skills. Ability to use all applicable applications at highest competency level.Ability to problem solve and troubleshoot.Advanced understanding and use of medical terminology.Advanced comprehension of billing and fiscal information.Knowledgeable and compliant with all hospital, State and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission and HIPAA.What we need from you:High school diploma or GED required; post-high school education preferred.Minimum of three years medical office or administrative support experience required.Brigham & Women’s Hospital is an Affirmative Action Employer.
