For 50 years, Bet Tzedek Legal Services has provided high-quality, free legal services to Los Angeles’ most vulnerable residents. In that tradition, Bet Tzedek created its Small Business Development Program to promote economic growth and equality in Los Angeles. The Small Business Development Program nurtures, supports, and empowers entrepreneurs and small business owners, particularly those from marginalized communities, through the deployment of legal services such as legal education, advice and counsel, and representation. Issues addressed include commercial real estate, entity formation, IP protection, labor law, and liability mitigation. Bet Tzedek is seeking a litigation secretary to support team members and the program’s advocacy efforts on behalf of small business owners.
This position will require on-site work at Bet Tzedek’s offices for printing, mailing, document preparation, in-person meetings, and other tasks. This position will require to work from time to time at other work related locationsto meet business needs and to participate at clinics and outreach events. While the primary workplace is Bet Tzedek’s offices, at the discretion of the immediate supervisor, the employee may be permitted to work remotely depending on workload/business obligations.
ESSENTIAL DUTIES:
Maintain legal files and timely enter case and client information into case management database. Data entry, scanning, copying, word processing, create and maintain spreadsheets, process case files, and other administrative duties.
Clearly and professionally communicate with clients, and, if necessary, legal partners, opposing counsel, courts, agencies, and the general public.
Prepare, format, e-file and coordinate service of process of court documents as needed on a case by case basis.
Provide other general administrative support as requested. Assist in conducting intakes and interviews for clients as needed.
Support staff attorneys in case-related tasks, including communicating with clients.
Coordinate and contribute to grant reports by analyzing and compiling data and ensuring reports are submitted on time.
Assist in the organization of clinics and other outreach events in person at different locations in LA County and online.
Assist Directing Attorney in compiling and obtaining information and documentation related to grant reporting.
Other duties may be assigned.
QUALIFICATIONS:
AA/AS and/or BA/BS or equivalent work/life experience (required).
Proficiency with MS Office applications (including Outlook, Word, PowerPoint, and Excel), video conferencing applications (e.g., MS Teams, Google Meet, or Zoom), and Adobe Acrobat (required). Proficiency with legal document preparation and e-signing applications (e.g., Lawyaw, HotDocs, Essential Forms, DocuSign) (preferred).
Proficiency with legal research databases (Lexis Nexis/Westlaw) (preferred).
Proficiency with NetDocuments or other web-based document management system (preferred). Proficiency with case management systems (e.g., LegalServer) (preferred).
Spanish proficiency and ability to provide written and oral translation between Spanish and English (required).
At least 3 years of law firm, legal nonprofit, or equivalent secretarial experience (required).
