Halekulani and Halepuna Waikiki employees live the legacy through the "art of service."POSITION SUMMARYAs an integral part of a team, the Director of Purchasing is responsible for continuously looking for ways to improve each guest’s experience by providing exceptional guest service in obtaining bids and choosing suppliers that provide excellent services and products at the best price to supply the Hotel with all required goods and services for day-to-day operations. The Director of Purchasing will negotiate with vendors for the purchase of all materials, supplies, equipment, and services used by the company. This position assists with daily purchasing and storeroom operations.This position will have an active role in assessing, developing, implementing, and managing internal controls and ensuring processes, procedures, policies, and documentation are properly in place and in compliance with JSOX and applicable laws and regulations.ESSENTIAL FUNCTIONSNegotiate with vendors for goods and services, ensuring the best possible price, quality, and service guarantee.Maintain, evaluate, and expand primary sources of supply while obtaining additional supply sources as needed to promote appropriate competition and assured supply. Develop new supply sources when vendors are inadequate.Establish purchasing, receiving, distribution, and inventory policies and ensure compliance.Examine bids and make awards.Establish accounts/credit and terms.Negotiate blanket purchase orders when appropriate and monitor costs during the time period.Check requisitions for appropriate approval and account numbers.Work with Purchasing team members to ensure and fulfill daily operations, including reviewing and approving Purchase Requisitions and issuing Purchase Orders to Vendors.Work closely with the receiving department and Department Heads to ensure proper supplies arrive and CAPEX products are properly recorded.Trace delinquent arrivals from purchase orders.Follow environmental and safety regulations and act in compliance with U.S. laws.Comply with safety and corporate guidelines on business ethics and maintain a higher standard.Maintain and keep appropriate par stock on all inventory goods.Work with each department to determine and implement purchasing strategy and objectives.Provide leadership and management of purchasing projects from conception through completion.Assess, evaluate, select, and maintain the company’s purchasing software, applications, and systems to ensure appropriate functionality, accuracy, performance, and optimization.Develop and execute all departmental policies and procedures for staff to foster a cooperative and safe working climate and maintain efficient productivity.Train and audit work of team members for accuracy and timeliness.Determine, assess, develop, implement, and maintain proper internal controls, processes, and procedures to ensure appropriate compliance with Standard Operating Procedures, Policies, Government Law & Regulation, and J-SOX.Perform all other duties as may be required or assigned.SUPERVISORY REQUIREMENTSReports To:

Purchasing Department and Storeroom ManagerEDUCATION/EXPERIENCEBachelor’s degree in a business-related areaHigh school diploma or equivalent vocational training certificate.Minimum seven years of purchasing experience.LICENSES/CERTIFICATIONSNoneKNOWLEDGE, SKILLS, & ABILITIESAbility to anticipate guest needs; respond promptly and acknowledge all guests.Ensure familiarity with all hotel services/features and local attractions and activities to respond to guest inquiries accurately.High communication proficiency.Ability to understand or learn technical aspects of various operations.Ability to collaborate, maintaining a positive working relationship with all.Excellent time management skills.Exhibit and maintain strong leadership ability.Business acumen.Ability to maintain positive guest relations at all times.Highly organized, detail-oriented, and ability to multi-task.Good knowledge of Office suite applications – Excel, Word, etc.Compute basic mathematical calculations (add, subtract, multiply, and divide numbers).Experience with purchasing software, applications, and systems (Knowledge with Adaco is preferred).PHYSICAL DEMANDSThe physical demands and work environment characteristics described are representative of those that must be met by an employee to successfully perform the essential functions of this job.
