Active Top Secret/SCIF eligibility********CONTINGENT UPON AWARDING OF GOVERNMENT CONTRACT******The Administrative Security Assistant shall support this functional area by providing security administration to the JSSO as follows:Duties & Responsibilities:
The Administrative Security Assistant will support the planning, development, and maintenance of a user-friendly, effective file system compliant with JS regulations. The file plan will guarantee both intellectual and physical control over records in all formats and levels of classification. Administrative personnel will ensure proper disposition of all permanent and temporary paper. The Administrative Assistant shall maintain the JSSO file plan and records disposition schedule, conduct annual records inspections, and provide reports to the Deputy Director, JSSO.The Administrative Security Assistant shall draft and update appointment memorandums for designated security positions and maintain record copies for easy retrieval and use.The Administrative Security Assistant shall manage the JSSO actions in the JS JSAP task management support by managing tasks going in and out of JSSO. The Administrative Security Assistant shall review incoming staff actions for assignment to proper JSSO office(s) for action, coordination, or other tasks. The Administrative Assistant shall develop reports, track, and monitor status of actions in progress, and prepare and transmit status reports for JSSO management to ensure actions are completed in a timely manner.The Administrative Assistant shall prepare supply orders for products or supplies needed in support of the office for approval by the JSSO Director or Deputy Director(s) or CORs. The Administrative Assistant shall coordinate special security requirements such as badge and escort requirements for numerous VIP visits and large numbers of visitors during conferences and exercises.The Administrative Assistant shall support the JSSO Director and Deputy Director with executive assistance by managing calendar appointments, scheduling, and accepting meeting invitations, taking phone messages, handling customer inquiries, developing management briefings, and providing meeting reports, as necessary.The Administrative Assistant shall maintain and update the JSSO SharePoint pages on an annual basis or as directed. The Administrative Assistant shall coordinate with JS knowledge engineers and internal JSSO process owners/stakeholders to ensure all requirements and desired functionality are successfully captured and smoothly implemented in SharePoint.Knowledge, Skills, and Abilities (KSAs):
Shall be fluent in the English language and have the ability to read, write, and comprehend government documentation.Shall have thorough knowledge and demonstrated expertise in using basic Microsoft programs (Outlook, Word, Excel, PowerPoint).Experience with administrative duties (records management, taking phone calls, scheduling appointments, tracking staff actions, etc.).Experience in working independently on projects requiring research and preparation of briefing charts and other presentation materials.Experience with managing and developing SharePoint pages.Other Duties as assigned.Minimum/General Experience:
Requires 2 years of related experience in the respective security discipline.High School Diploma or equivalent.Disclaimer:
