EPIC Training Supervisor (Hybrid)

Friday, September 20, 2024Position Summary:Under the direction of the Senior Manager of IT Programs, the Epic Training Supervisor supervises Epic Training Team, facilitates Epic training classes, and oversees the management of Epic training environments and learning resources. This role will ensure technical proficiency amongst Epic Training Team and lead Epic training projects. They will support customers in all system changes and facilitate a support program to meet the needs of end users. They will work collaboratively with the Epic analyst team and operations leadership to ensure effective and appropriate training and education plans are in place and executed upon. The Epic Training Supervisor will also complete supervisory functions including managing staff timecards, assignment of work, schedule management, and performance reviews.This position is considered Hybrid, which means that individuals in this position may work both at an approved offsite location and onsite at a primary location or multiple locations based on business needs. There will be a minimum requirement for 2 days a week to be worked on-site. Additional on-site days to be added based on business needs.Essential Functions of the Job:Leads the maintenance of a comprehensive training program in partnership with operational leadership and Super User Leads to ensure standardization of training material. Works close with Analysts as well as operational leadership to identify all Epic training needs and changes.Work closely with departments for translating workflow design and process decisions into training content.Manage all training documents, online trainings in Epic U, and IT modules within our Learning Management System (LMS).Manage end users’ access to Epic environment based on training completion.Manage training evaluations; provide metrics on evaluation results on quarterly basis and will work with Training Team to adjust training agenda and approach based on feedback from attendees.Responsible for training users, including technical trainers, super-users, and operational leaders. Identify clinical system training needs and educate staff on approved system processes, new functionality or other types of changes and provide relevant tips to improve efficiency.Lead the Training Team to ensure testing of changes, new features and functionality are complete; identify issues that disrupt the delivery of care by reporting to clinical operations.Lead the updating of internal training website (SharePoint) and ensure all approved documentation is uploaded in a timely manner.Leads the performance of assessments to determine skills gaps between current and desirable skill levels, evaluating the effectiveness of training programs and learning outcomes.Leads the go-live support for new implementations, upgrades, and/or projects at the practice sites by developing a training plan and schedule.Maintains up-to-date knowledge of Epic and other systems.Provide admin support, including but not limited to timesheets, performance evals, and schedule maintenance for members of the Training Team.Performs duties on site as assigned or requested.Additional Duties and Responsibilities:Demonstrates a commitment to personal growth and development by attending classes and In-services offered.Responds cooperatively to managers, supervisors, and other staff members to promote a positive workplace.Represents organization in a positive and professional manner in the community.Works both independently and in a team-oriented, collaborative environment.Adapts to shifting priorities, demands and timelines through analytical and problem-solving capabilities.Reacts to training adjustments and alterations promptly and efficiently.Reads communication styles of team members and contractors who come from a broad spectrum of disciplines.Job Requirements

Experience Required:2 years’ experience in leading a training team/program2 years’ experience with Epic (preferably in the training or Ambulatory space)Education Required:Associates degree in a related fieldCertifications Required:Certification in Epic (Ambulatory, Certified Trainer, Clinical Informaticist, and/or similar)Verbal and Written Skills Required to Perform the Job:Strong written, verbal, and interpersonal communication skills while presenting ideas in business-friendly and user-friendly language.Outstanding communication skills with the ability to work with individuals at all levels of the organization.Technical Knowledge and Skills Required to Perform the Job:2-5 years’ experience using MS Office tools, MS Project, MS Visio, MS Excel and WebEx etc.; SharePoint experience highly desirableReacts quickly and adapts to changes in priorities, circumstances, and directionOrganizational skills with the ability to handle multiple tasks at one timeWorks effectively both independently and in a team environment.Exceptionally self-motivated and directedTime management skills with the ability to prioritize and schedule daily activities for the most efficient use of timeEquipment Used:General office equipment to include PC and Software (Excel, Word, Office), phone, fax, etc.Working Conditions and Physical Requirements:Sitting in an ergonomically able position for periods of time; Office EnvironmentOccasional lifting or adjusting of computer equipment in an average of 50 lbs.Access to personal vehicle required -
